Your new role

As a Receptionist and Team Assistant, you will be instrumental in ensuring smooth day-to-day operations by providing administrative and reception support across various teams. You will work closely with managers, engineers, team leaders, and other stakeholders, assisting with key business functions and processes.

  • Serving as the first point of contact for employee payroll queries, liaising with relevant departments to facilitate timely resolutions
  • Providing administrative and secretarial support to senior leadership and site teams
  • Managing correspondence, emails, and key communications efficiently
  • Coordinating calendars, scheduling meetings, and overseeing event organisation
  • Assisting with onboarding processes and IT setup for new team members
  • Maintaining and updating communication boards and internal records
  • Handling filing, data entry, and record management with accuracy
  • Supporting payroll system updates and data verification processes
  • Recording and distributing meeting minutes when required
  • Ensuring administrative coverage and flexibility across teams globally
  • Initiating and tracking help desk requests, ensuring timely follow-ups and resolutions

What you'll need to succeed

  • Previous experience in an administrative or team support role
  • Strong organisational and time-management skills, with the ability to multitask effectively
  • Excellent communication and interpersonal skills, fostering positive relationships at all levels
  • A professional approach and ability to maintain confidentiality in business matters
  • Proficiency in Microsoft Office Suite, with experience in Oracle or SAP is advantageous.
  • Familiarity with payroll systems such as Kronos (preferred but not essential)
  • A proactive mindset, resourcefulness, and adaptability in handling varied tasks
