About the role
As the Casual Arts and Events Assistant you will be a frontline champion for the provision of excellent customer service to stakeholders and clients. You will work both within the Arts and Culture unit and also with other teams across Council.
You will work closely with the Arts and Culture Operations Officer and the Arts and Culture Team Leaders to assist in the delivery of cultural events, exhibitions and creative activities in the City of Willoughby as part of the Arts and Culture Unit.
You will support a small team of professionals to deliver diverse, contemporary and cultural events and festivals, and provide efficient administrative support across the Arts & Culture Unit.
What you’ll be doing:
Assist with the collation and distribution of marketing material.
Assist with submitting and uploading content to various cultural websites and platforms.
Assist with database and mailing list maintenance, mail distribution and phone canvassing.
Assist with searching suppliers and pricing to inform purchases, raising purchase orders.
Assist with administrative tasks associated with coordinating and delivering exhibitions, performances, creative projects, symphony activities and music/cultural festival events.
Other administration tasks as delegated by Unit staff, including using booking systems.
Mind Council’s art spaces during exhibitions, invigilating artworks, monitoring visitation, providing information about the artworks and opening/closing procedures.
Assist with the prepping the installation of artworks in both gallery and public space settings.
Front-facing customer service during festivals and events.
Bump in/out of the Chatswood Mall Market and other events, involving pedestrian and vehicle traffic management, and providing access and supplies for contractors.
Manual work and moving of heavy equipment during event setup and pack down.
Crowd management during festivals and events.
Adhere to the principles of Work, Health and Safety (WHS) and Equal Employment Opportunity (EEO).
Requirements:
Tertiary qualifications in any area of cultural production, including visual arts, music, performance or event management and/or significant relevant experience
Highly proficient intermediate level skills in Microsoft applications such as Word, Excel and Outlook.
Experience in records management.
Ability to adapt and learn HRIS and training systems.
Strong experience in data entry.
Well-developed communication skills, verbal and written.
Proven ability to maintain confidentiality.
Well-developed organisational and interpersonal skills.
Excellent attention to detail.
Demonstrated ability to work as part of a team.
Highly customer and delivery focused.
Willingness to learn and provide input into organisational improvements
