About the Role
Penelope Homes is a fast-growing residential building company based in Chermside West. We’re looking for a proactive and reliable Administration Assistant to join our close-knit team. This is our first internal admin hire, so you’ll be stepping into a pivotal role that will evolve as the business continues to grow.
You’ll be responsible for keeping our operations running smoothly — supporting the Director, Site Managers, trades, and clients across various aspects of the business. From project coordination to document preparation, your work will help keep our builds efficient and our clients informed.
We offer a casual position of 15–20 hours per week, with flexible scheduling (school hours welcome) and the potential to work from home after 3 months.
Key Responsibilities
Provide administrative support to the Director and Site Managers
Prepare and manage contracts, variations, and job documentation
Maintain accurate and up-to-date records in our CRM system
Assist with scheduling and coordination of trades and suppliers
Manage timesheet entries and assist with payroll using Deputy
Draft emails, reports, and client communications
Support project submissions, compliance paperwork, and general office duties
Maintain digital filing systems and update project/job notes
What We’re Looking For
Experience in administration (construction or trades industry preferred)
Excellent organisational and time-management skills
Friendly and professional communication skills (written and verbal)
Proficiency in Microsoft 365 (Outlook, Word, Excel)
Ability to work independently and handle multiple tasks at once
Experience with CRM systems, DocuSign, or Pipedrive is a bonus
Willingness to learn platforms like Deputy, Buildxact, and Xero
Confidence using Mac and Apple-based systems is ideal
