About the Role

We’re looking for a Sales Administration Assistant to support our Director and sales team. This role is perfect for someone who loves optimising systems, and takes pride in supporting high-performing teams. You’ll play a critical role in keeping our business operations running smoothly, supporting sales processes, and coordinating key project events.
Key Responsibilities
- Documentation and Systems Optimisation
Document and optimise sales, finance, and administrative processes
Source, implement, and manage software to streamline operations and reduce manual tasks
Develop checklists, templates, and automations to enhance efficiency
- Data Management and Reporting
Compile and analyse business data to support decision-making
Maintain accurate CRM records and sales data
Prepare regular reports on business performance, project status, and key metrics
- Project Coordination
Plan and coordinate key project events, including buyer inspections and settlement processes
Manage customer contracts, ensuring timely completion and accuracy
Liaise with key stakeholders to keep projects on track
- Document Management and Communication
Maintain shared files and document repositories for easy team access
Prepare and distribute internal and client-facing documents, including contracts, reports, and communications
Assist in drafting and proofing marketing materials, proposals, and presentations
- Calendar and Inbox Management
Schedule meetings, inspections, and follow-ups for the Director and sales team
Monitor inbox for important client messages and ensure prompt action
Prepare for upcoming appointments with relevant materials and context
What We’re Looking For
✅ 2+ years’ experience in administration, executive assistance, or sales support
✅ Strong proficiency with Microsoft 365 (Outlook, Excel)
✅ Experience with CRM platforms (e.g., Pipedrive, HubSpot)
✅ Exceptional organisational skills and attention to detail
✅ Excellent written and verbal communication
✅ Ability to work independently in a remote environment
Bonus: Experience in commercial property, real estate, or professional services
