Our client is a family-owned building approval and inspection service based in Maitland. Known for their professionalism, personalised service, and high standards, they are seeking an Administration Officer to join their friendly and fast-paced team.

This is a dynamic and varied role where you'll be the key point of contact for clients, assisting with project administration, file management, and the coordination of inspections. If you thrive on providing exceptional customer service, enjoy juggling multiple tasks, and have an eye for detail, this could be just the role for you.

Key Responsibilities:

  • Provide outstanding customer service as the first point of contact (phone, email, and in person)
  • Coordinate building inspections by liaising with clients and inspectors to confirm booking details
  • Assist with lodging building applications
  • Oversee and maintain physical and electronic filing systems for building approvals
  • Audit and archive files, including preparing letters and guiding clients through project close-out
  • Provide general administrative support to ensure smooth daily operations

About You:

  • Experienced in customer service and administration, ideally in a construction or regulatory setting
  • Excellent coordination, scheduling, and communication skills
  • Comfortable managing multiple clients and deadlines in a fast-paced environment
  • High level of attention to detail and accuracy in data entry and documentation
  • Strong computer literacy, including MS Office (Word, Excel, Outlook)
  • Able to work both autonomously and collaboratively within a close-knit team
  • Experience with invoicing or quoting is a plus
  • Prior experience in inspection or trades scheduling will be highly regarded

Part time preferred, full time hours would be considered.
