Newcastle Fertility Specialists are seeking a PRACTICE MANAGER & MEDICAL RECEPTIONIST

Newcastle Fertility Specialists has a rare opportunity for a practice manager to join our busy practice.

This is a new position that has been created to allow the principal doctor to devolve responsibility for the running of the practice. It would suit a dynamic, people focused person who is looking for the challenge of:

· Creating a new position within an existing team & clinic

· Develop policies & procedures for the clinic

· Improving HR, clinic efficiency, processes, patient flow, marketing & communication with Genea

You'll be joining a dedicated team, which has a dynamic working environment. We are a privately run gynaecology practice focused on Fertility & Adolescent Gynaecology well supported by 4 specialist doctors and fellow receptionists. Our team is committed to helping patients and their families access high-quality care and friendly customer service fertility help. We work closely with Genea Newcastle.

Who we’re looking for:

Practice Management Role Wednesday to Fridays

As this is a new position it has real potential for someone who genuinely wants the challenge of developing an existing clinic into the best version it can be. You will be responsible for developing proper written policies, procedures & systems to bring the clinic up to standard. You will be responsible for workflow, HR, compliance, risk management, ordering, customer care, communication with stake holders, IT systems. A detailed description of the position is available on request.

You will be responsible for assessing the potential redevelopment of the existing premises in 2026.

Initially the job will also involve Medical reception Mondays & Tuesdays to allow you insight into the running of the practice & how the team works together. For the right person there is the potential to eventually devolve this part of the job to a new receptionist in consultation with the business owner.

The position has the real potential for working from home when developing policies, procedures, marketing, etc. The practice would be happy to support & facilitate this.

Medical Reception Mondays & Tuesdays

We’re seeking a confident, reliable, professional person with a great personality. Presentation must be impeccable and punctuality and organisational skills a must. You must be able to work efficiently, effectively, and in line with high quality processes and procedures which are designed to ensure the provision of a consistent level of service to patients, doctors and other stakeholders. You must have a can-do working manner- we’re a small team and believe workplace harmony is vitally important to the on-going success of our practice.

As we are truly dynamic in nature, you must exhibit a flexible approach to your daily working role and display good work ethic. NFS is a fast-paced environment, so you must, as a necessity, be organised in nature and can multi-task well under pressure without showing signs of stress in-front of our valued patients.

The sensitive nature of the services provided at our practice means it’s imperative you can genuinely express understanding and show compassion towards those patients sharing their journey with us. We assist patients through challenging issues and they deserve the best version of us at each encounter. This is not an office desk role. You must enjoy working on the frontline and being the first point of interaction with our patients! Our patients are gender diverse from many different backgrounds and an open-minded welcoming approach is essential.

Whilst training of our programs and procedures is provided, you must have good computer skills and an excellent telephone phone manner.

What you’ll do:

· General medical receptionist duties

· Opening and closing routine

· Ensure waiting room and other facilities of the practice are neat and tidy

· Meet and greet patients both in person and on the telephone

· Ensuring patient comforts are met in the waiting room, update patients in-case of any wait times or delays

· Book and alter appointments

· Meet both clinician and patient requests

· Daily banking and EFTPOS reconciliation

· Online stock ordering

· Scanning and faxing documents

· Online Medicare and health fund billing/receipting

· Accurately and confidentially input data

· Investigate, co-ordinate, forward-on and follow up patient requests and questions

· Housekeeping

· Other general administrative tasks

· Typing

· Responding to patient emails

What’s in it for you?

This permanent, full-time role is for 5 days per week and reception hours will generally vary between the hours of 9am and 5pm. Hours for the Practice Manager role are more flexible & open to negotiation including working from home. We ask the applicant to be genuinely able to work reception on days they are not usually rostered to fill gaps.
