Are you an experienced and highly organised professional looking to thrive in a fast-paced environment? Oracle Psychology is seeking a dedicated Administration Assistant/Receptionist to join our warm and collaborative team.

We specialise in assessing and treating children, adolescents, and young people, working closely with families and the community to create a supportive, caring, and positive experience. About The Role
This full-time position (Monday–Friday) requires a detail-oriented professional with prior experience in medical or allied health administration. You’ll work closely with our administration team, practice manager, and assistant practice managers to ensure the smooth operation of our practice.
Key Responsibilities
✅ Appointment Management: Efficient scheduling and coordination for multiple psychologists.
✅ Front Desk Administration: Handling phone inquiries, scheduling appointments, and processing payments via PracSuite.
✅ Financial Administration: Managing Medicare claims, health fund claims, NDIS billing, direct debits, and accounts reconciliation.
✅ Client & Referral Management: Processing incoming referrals and emails professionally and promptly.
✅ Collaboration & Reporting: Liaising with health professionals, assisting the director and clinicians, and reporting to management as needed.
✅ General Administration: Performing daily, weekly, and monthly tasks to ensure seamless practice operations.
Skills & Experience
Previous experience in a similar role, preferably in medical or allied health administration.
Exceptional written and verbal communication skills and attention to detail.
Strong computer literacy, with experience using Microsoft Word, Excel, Outlook, and practice management software (PracSuite preferred).
Ability to work efficiently under pressure, multitask, and stay highly organised.
Experience with NDIS is advantageous.
Proactive and team-focused with a positive mindset and willingness to learn.
Strong problem-solving skills with the ability to show initiative and work both independently and collaboratively.
