About the Position:
The Administrator - Service Planning & Workforce Rostering plays a central role in ensuring the efficient delivery of high-quality support services by developing, maintaining, and adjusting workforce rosters that respond to the needs of clients and staff. This role also provides critical administrative support, helps maintain compliance with industrial regulations, and ensures smooth internal operations.

Key Responsibilities:
Rostering & Scheduling
Develop and manage rosters that respond to consumer care plan needs and staff capabilities, ensuring continuity of service and operational efficiency.
Act as a primary contact for staff regarding rosters and leave arrangements.
Manage daily roster changes in collaboration with the roster support officer, and respond to short-notice requirements and cancellations.
Organise rostering requests with accuracy and timeliness.
Monitor staff hours to ensure compliance with SCHADS and/or Nurses Award and contract obligations.
Ensure rosters are accurately updated in the JCS Information Management System (IMS) and are accessible for Payroll.
Master and utilise JCS scheduling software (Visual Care).
Maximise staff utilisation based on availability, location, and training competencies.
Administrative Support
Maintain high-quality administrative systems and processes to support daily operations.
Assist in data entry for consumer records and invoice generation.
Support the broader administrative team and answer phone calls professionally.
Attend team meetings and share knowledge and information effectively.
Customer & Staff Communication
Communicate clearly and sensitively with consumers, staff, families/carers, and external stakeholders.
Provide professional and courteous responses to all enquiries.
Follow up with consumers and staff regarding changes, schedules, and general matters as required.
Organisational Responsibilities
Maintain accuracy and attention to detail across all tasks.
Deliver high-level customer service to consumers, the general public, and internal stakeholders.
Respect cultural and linguistic diversity, especially relating to CALD and Jewish communities.
Support a safe and healthy work environment by adhering to WH&S policies and Infection Control.
Maintain confidentiality and ethical standards in line with JCS policies and values.
Contribute to continuous improvement in systems, practices, and service delivery.
Promote and comply with organisational codes of conduct, policies, and relevant legislation such as the Aged Care Quality Standards.
Qualifications, Skills & Key Selection Criteria:
Essential
Experience in aged care, community support, or a related field.
High proficiency in new technologies, IT and external tools to facilitate continuous improvement and work productivity.
Strong planning, time management, and organisational skills.
Intermediate-level qualifications and/or experience in Office and Business Administration.
Strong written and verbal communication skills and interpersonal abilities.
Experience with Microsoft Office365 and client management databases.
Proven rostering and scheduling experience with understanding of industrial obligations.
Commitment to diversity, inclusion, and workplace health and safety.
Willingness to learn about the Jewish faith and cultural practices.
National Police Clearance (or willingness to obtain).
Desirable
Previous experience in small or non-profit organisations and volunteer engagement.
Understanding of the ageing process and issues affecting people with disabilities or CALD backgrounds.
Ability to work both independently and collaboratively within a team.
