Sunflower Services, an emerging NDIS provider in New South Wales, and Adelaide, where we are dedicated to fostering a supportive environment for both our clients and our team members. We are seeking empathetic, resilient, and dynamic individuals to join our team, as a Permanent Part-Time, Rostering and Administration Coordinator. The position will be 3 days a week, flexible hours available. You will work in our office is located in Adelaide, South Australia.
As an Rostering and Administration Coordinator at Sunflower Services, your responsibilities include:
· Coordinate and manage the scheduling and rostering of support workers for Participants at Sunflower Services.
· Liaise with clients, support workers, and internal teams to ensure timely and effective shift coverage.
· Monitor and adjust rosters based on changes in participant needs, staff availability, and operational requirements.
· Maintain accurate shift records, including hours worked and client preferences.
· Provide ongoing support and guidance to support workers regarding their schedules and responsibilities.
· Handle staff sickness notifications and leave requests, ensuring sufficient coverage by organising replacements and adjusting rosters as needed.
· Monitor support worker performance through the rostering system—tracking attendance, punctuality, and adherence to absenteeism policy.
· Answer reception phone calls in a professional and timely manner, assisting with inquiries and following up on requests.
· Provide general office support including document preparation, filing, scheduling, and ordering of office supplies.
· Maintain office tidiness and cleanliness (e.g., emptying bins, kitchen cleaning, vacuuming).
· Oversee recruitment and onboarding of Mental Health and Disability Support Workers. This includes conducting excellent group interviews and sourcing suitable and high quality applicants from Seek/Website Applications.
· Manage and process employee documents, including scanning, shredding, and uploading to HR systems (e.g., ShiftCare).
· Maintain up-to-date employee records on appropriate CRM’s (Employment Hero, Shiftcare).
· Ensure staff have timely completion of all mandatory training, including NGO policies and NDIS modules.
· Distribute onboarding documentation to accounts and send welcome emails to casework team.
· Distribute and update company policies and procedures to all support workers.
· Issue staff ID badges and provide EAP (Employee Assistance Program) information during onboarding.
· Monitor and ensure compliance with employee checks and deadlines.
· Order and maintain supplies such as stationery, business cards, office folders, and vehicle signage. Coordinate with external suppliers to manage inventory and stock levels.
· Process business-related invoice payments.
· Organise monthly team lunches and contribute to fostering a collaborative and engaged workplace environment.
To succeed in the role, you will need:
· Previous experience in rostering, scheduling, or a similar role, preferably in the disability or healthcare sector
· Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
· Excellent communication and interpersonal skills, with the ability to build positive relationships with clients and staff
· Knowledge of relevant software systems and tools for rostering and scheduling (e.g., rostering software, Microsoft Excel)
· Understanding of disability support services and the needs of individuals with disabilities
· Ability to work effectively both independently and as part of a team
