🐶 About the Role

This is more than bookkeeping. You’ll be in the driver’s seat across finance, admin, team performance, and future expansion. Your job?
Keep the engine running, lead the operations team, and empower every staff member to play their part in a results-driven, service-focused culture.

You’ll work closely with the Director to interpret financials, track ROI, manage daily ops, and keep the whole business on track — while building a culture that backs each other and delivers with pride.

✅ What You’ll Be Doing

Oversee all internal finance operations using Xero (advanced use)

Daily payment reconciliations for mobile terminals, bank, cash & deposits

Accurate job costing and reporting via ServiceM8 and Ascora

Payroll prep, timesheet tracking, and performance oversight

Prepare monthly reporting packs, cashflow forecasts, and P&L analysis

Ensure BAS, PAYG and EOFY data is accurate and ready for lodgement

Track charge rates, margins, and job profitability per tech

Lead and support our scheduler/admin team — with structure, feedback & KPIs

Coordinate with marketing to analyse ROI on PPC, Google Ads, and campaigns

Monitor enquiry-to-booking conversion and follow-up success

Build internal dashboards & reporting tools

Use Microsoft Excel (advanced) for reporting, analysis, and forecasting

Use Microsoft Teams to collaborate and manage staff

Maintain asset register and assist with purchasing/renewals

Ensure clean handovers, internal documentation, and CRM accuracy

Jump on phones and scheduling support when needed (you’re part of the pack!)

Help build a scalable system for future trades (electrical, air con & more)

Bring the team together — championing training, results, and work culture

🔍 What You’ll Bring

Advanced knowledge of Xero and bookkeeping principles

Proficiency in Microsoft Excel and business analysis

Experience in ServiceM8, Ascora, and modern service-based systems

A track record of driving results — not just keeping books

Strong communication, delegation, and leadership skills

Previous experience managing office staff or trades operations

Ability to hire, train, and hold people accountable

Confidence to make smart calls, not wait for permission

Passion for building teams, improving systems, and hitting targets

Experience with Fathom or similar reporting tools is a bonus
