About the Role:
Reporting to the General Manager, the Bookkeeper / Administrative Assistant will be responsible for a range of financial and administrative tasks, ensuring the smooth and efficient operation of day-to-day activities. This is a varied position that requires both autonomy and collaboration, with interactions across internal staff, affiliated clubs, suppliers, and the general public.
Key ResponsibilitiesFinancial Management:
- Maintain accurate and up-to-date financial records, including general ledger entries, receipts, and payments
- Process accounts payable and receivable in a timely manner
- Perform bank reconciliations and assist with monthly reporting
- Support payroll processing, including timesheet entry and preparation of payroll summaries
- Liaise with the organisation’s external accountant and treasurer to ensure compliance and accuracy
- Organise and maintain financial filing systems (physical and digital)
Administrative Support:
- Provide high-quality administrative assistance to the General Manager and other team members
- Manage phone and email enquiries with professionalism and efficiency
- Coordinate court and facility bookings, and liaise with venue partners as needed
- Assist in the preparation and distribution of reports, newsletters, and general correspondence
- Support stock control, uniform orders, and merchandise administration
- Perform data entry and general office support tasks as required
About YouEssential:
- Proven experience in bookkeeping and administrative roles
- Proficiency in accounting software (Xero preferred)
- Solid working knowledge of Microsoft Office, particularly Excel and Word
- Excellent attention to detail and accuracy in data handling
- Strong communication skills, both written and verbal
- Well-developed organisational and time management abilities
- Ability to work independently while contributing to a small, collaborative team
- A positive and professional attitude, with a commitment to community values
Desirable:
- Relevant qualification in bookkeeping, accounting, or business administration
- Experience working in a not-for-profit or sporting environment
- Understanding of community basketball operations and governance
- Familiarity with membership or sports management platforms (e.g., PlayHQ, Refbook)
