Restored Wellbeing is a Perinatal Psychology clinic located in Red Hill, Brisbane. In our newly renovated space with wooden floors, high ceilings and lush plants, we are passionate about providing mental health treatment for pregnant and new parents or to those who have experienced fertility struggles or perinatal loss. Our dedicated team supports new and expectant parents to overcome emotional challenges as they transition into parenthood. We are now looking for a warm and compassionate administrator to join our small team.
About the Role:
In a part-time administration position of 12 hours per week, you will be responsible for the smooth running of the administrative side of the clinic for a small group of part time clinicians by fostering a calm, efficient, and welcoming environment for all clients and staff.
Duties will include:
Providing administrative support to the psychology practice, including managing appointments, handling client enquiries, and maintaining accurate client records.
Providing a welcoming and professional reception service for clients at the front desk, over the phone, and via email in a warm, professional manner.
Managing bookings, cancellations and waitlists using our practice software (Halaxy) and promptly offering any cancellations to other patients, ensuring efficient scheduling and optimal use of available appointments.
Following up on payments, processing Medicare claims, and generating invoices for third-party clients.
Supporting the implementation of policies and procedures of the practice to ensure compliance with relevant regulations including confidentiality, privacy and Medicare regulations.
Generating internal reports from our practice software.
About you:
Excellent administrative and organisational skills with a keen eye for detail and the ability to prioritize tasks.
High-level interpersonal and communication skills, both written and verbal.
Ability to work independently - confident in problem solving and prioritising independently.
Strong ethical compass and respect for confidentiality.
Competence with Microsoft Office and confidence learning new systems.
Experience working in a psychology or healthcare clinic will be highly regarded.
This would suit an experienced person seeking consistent work during school hours (Short shifts 3-4 times a week).
