Mode Plastic Surgery is a boutique specialist practice led by Dr Shagun Aggarwal, offering a full range of cosmetic and reconstructive plastic surgery procedures.
We are seeking a dedicated and well-presented Medical Secretary / Patient Coordinator to join our team. The position is 4 days per week (Monday to Friday), primarily based at our Gordon practice on Sydney’s North Shore, with occasional consulting sessions in Hornsby, Hunters Hill, Camperdown, and Potts Point.

What We’re Looking For
3+ years front desk/reception experience (medical or specialist practice preferred)
Experience using medical booking software – Shexie highly regarded
A genuine interest in cosmetic and reconstructive surgery
Exceptional communication and accurate typing skills
Professional presentation and a warm, empathetic personality
Strong multitasking, time management, and organisational skills
Reliable work history and excellent references
Proficiency in MS Office (Word, Excel, Outlook)
Permanent Australian residency (visa sponsorship not available)
Key Responsibilities
Greeting patients and answering incoming calls
Responding to patient inquiries via phone and email
Booking and managing appointments using Shexie software
Pre-collecting surgery and anaesthetic fees
Processing Medicare rebates and patient payments
Managing paperwork, referrals, and general admin tasks
Supporting training, policy development, and performance tracking
About You
A proactive, team-focused individual who thrives under pressure
Able to manage multiple tasks and patient communications simultaneously
Quick to learn procedures and confident discussing surgery timelines and admin
Comfortable with medical terminology and healthcare procedures
Medical experience preferred, though premium customer service experience will be considered if medical background is limited
