The Role:
A two month temporary Office Coordinator opportunity, full-time Monday -Friday, office based role, ASAP start. You’ll be the go-to person in the office keeping daily operations running smoothly and creating a seamless experience for employees, visitors, and stakeholders. This is a varied high-impact role that goes beyond the front desk. You’ll manage facilities, onboarding, administration, and internal events, building strong relationships across the business and playing a central role in the day-to-day rhythm of the office.
Reporting to the HR Business Partner you’ll work alongside experienced Executive Assistants and a collaborative leadership team. It’s an exciting opportunity to lay the groundwork for future growth in Executive Support, Operations, or Facilities.
The Duties:
• Welcome guests, manage reception inbox, and issue staff/visitor passes
• Coordinate meeting rooms and assist with AV setups alongside IT
• Manage stock and supplies for office
• Support onboarding: prepare welcome kits, IDs, and staff logistics
• Liaise with HR, Facilities, Concierge, and external vendors
• Distribute mail and manage couriers and deliveries
• Assist with internal events, communications, and office-wide updates
• Maintain OH&S compliance and manage safety procedures
• Keep shared spaces organised and presentation-ready
• Maintain and improve office procedures and workflows
• Provide ad hoc support to teams across the business
Skills & Experience:
• 3+ years in office coordination or front-of-house role
• Warm, confident, and skilled at building relationships
• Agile, proactive, and solutions-focused
• Tech-savvy with Microsoft Office and booking systems
• Familiar with OH&S and compliance requirements
• Comfortable managing admin, facilities, and vendors
• Full working rights (PR or citizenship required)
• Immediately available to start
