As we continue to expand our reach, we're seeking a highly organised and proactive Operations & Business Support Manager to play a crucial role in streamlining our operations, driving efficiency, and fostering innovation across all our service areas.

About the Role:

We're looking for a skilled and experienced individual who is ready to take ownership and drive positive change within our organisation. As our Operations & Business Support Manager, you will be instrumental in optimising our processes, enhancing our digital presence, and ensuring smooth and efficient workflow across all aspects of the business. This is a diverse and challenging hybrid role, offering a blend of working from home and collaborating from our office in Clyde North. The ideal candidate will be someone who can clear the current management mess with their exceptional organising skills and implement innovative solutions to improve our operations and support our installations and customer base throughout Victoria, New South Wales, and South Australia, with upcoming responsibilities related to our expansion into Tasmania.

Key Responsibilities:

Website Management & Enhancement: Maintaining and updating our company website, implementing improvements to enhance user experience and functionality.

Email Streamlining: Managing and optimising our email communication systems for efficiency and effectiveness.

Marketing Material Creation: Developing professional brochures and PowerPoint presentations to support our sales and marketing efforts.

Data Management & Analysis: Proficiently handling and organising data using Excel spreadsheets for reporting, analysis, and process improvement.

CRM Set Up: Implementing and configuring a Customer Relationship Management (CRM) system to streamline customer interactions and data management.

Cloud Call Service Set Up: Setting up and managing our cloud-based phone system for seamless customer communication across Victoria, New South Wales, and South Australia.

Customer Resolution & Complaint Handling: Effectively addressing customer inquiries, resolving issues, and managing complaints with professionalism and empathy from our customer base in Victoria, New South Wales, and South Australia.

Stress Management: Maintaining composure and effectively managing pressure in a fast-paced environment.

Installation Scheduling & Coordination: Assisting with the scheduling and coordination of solar panel and battery storage installations primarily across Victoria, as well as in New South Wales and South Australia, with upcoming involvement in Tasmania, to ensure timely and efficient project completion.

Solar Grid Connection: Facilitating and managing the processes related to solar grid connections for our installations in our various service locations.

Driving Innovation: Identifying opportunities for innovation and implementing new strategies and technologies to improve business efficiency and customer experience across all operational areas.

Streamlining Operations: Utilising exceptional organising skills to analyse current processes, identify inefficiencies, and implement solutions to streamline operations and create a more organised workflow across all service areas.

Ownership and Initiative: Taking full ownership of assigned responsibilities and proactively identifying and addressing areas for improvement within the business.

General Management Support: Providing comprehensive administrative and operational support to the management team.

Skills and Experience:

Minimum 3-5 years of proven experience in a management or operations support role with a track record of taking ownership and driving improvements.

Strong computer literacy and proficiency in website management (experience with specific platforms is a plus).

Excellent skills in creating professional brochures and PowerPoint presentations.

Advanced proficiency in Microsoft Excel, including data manipulation, analysis, and reporting.

Experience with cloud-based call management systems.

Solid understanding of cloud technologies and their application in a business environment.

Exceptional customer service and complaint resolution skills.

Demonstrated ability to effectively manage stress and work under pressure.

Strong organisational and time-management skills, with a proven ability to streamline processes and improve efficiency.

Excellent communication and interpersonal skills, both written and verbal.

A proactive and solutions-oriented approach with a strong attention to detail and a drive for innovation.

Experience in the renewable energy industry, particularly with solar grid connection processes in different states, is highly advantageous.

Ability to work effectively both independently from home and collaboratively in our office in Clyde North.

Willingness to learn and adapt to the regulatory requirements and operational nuances of working in Victoria, New South Wales, South Australia, and Tasmania.
