Wellbeing and Operations Manager | Permanent | 3–4 Days Per Week
We’re looking for a Wellbeing and Operations Manager to lead the day-to-day running of wellbeing and operations at our paediatric allied health clinic. This role is about more than just managing systems — it’s about nurturing a supportive, happy, and well-organised space where both our team and the families we care for can thrive.
At Coastal Kids Physio (CKP), we live by our values of kindness & respect, going above and beyond, and striving to be better. We’re seeking someone who shares this passion and can bring leadership, positivity, and warmth to our team.
About us:
We're a team of 6 Physiotherapists, 5 Occupational Therapists, 3 Client Care Coordinators, and 3 Therapy Aides, with each team member enjoying flexible, part-time work arrangements that support balance and wellbeing. We provide physiotherapy and occupational therapy to children of all ages, with a genuine commitment to delivering the highest standard of care for every child and family we support
About the Role:
The Wellbeing and Operations Manager will play a key role in overseeing the daily operations of our clinic, supporting both our therapy and admin teams. Working closely with our Director, you’ll help ensure that our behind-the-scenes systems run smoothly — allowing our therapists to focus on what they do best: providing exceptional care to kids and families.
Responsibilities include:
Managing day-to-day clinic operations across customer service, HR, WHS, and facilities
Leading, supporting, and motivating our therapy and admin teams while upholding our positive culture
Ensuring systems, processes, and policies are efficient, compliant, and effective
Collaborating on business strategy, financial planning, and performance review
Managing stakeholder relationships, feedback, complaints, and marketing activities
Overseeing HR processes, payroll (with bookkeeping support), and team wellbeing initiatives
We also love to make work fun — from scavenger hunts and partner challenges to team lunches and celebrating milestones. We’re looking for someone who brings leadership and warmth, and who’s excited to be part of what makes CKP special.
What We’re Looking For:
Experience in practice management roles, allied health admin advanced roles, or operations (paediatrics a bonus!)
Proven leadership with a collaborative, empathetic, and hands-on approach
Calm, organised, solution-focused, and great with people
Confident communicator and active listener
Comfortable with (or willing to learn) tools like Xero, Asana, and practice management systems
Aligned with our values, open to feedback, and committed to ongoing growth
Positive, kind, and genuinely passionate about making a difference for families and children
Why Join Coastal Kids Physio?
Flexible part-time role (3–4 days/week, with potential to grow)
Supportive, values-driven team who love what they do
Opportunity to shape and improve systems that make a real impact
Focus on wellbeing, balance, and professional growth
100-day induction program to ensure you feel confident and supported
How to apply:
Please email a cover letter (meeting our criteria + preferred number of hours) and your resume to "Dannielle" at [email protected]
Applications close 5pm May 13th, 2025
