About the Role
The Practice Manager is responsible for the overall management and coordination of the medical centre’s operations, ensuring efficient workflow, high-quality patient care, and compliance with industry standards. This includes overseeing human resources, financial management, quality systems, and facility maintenance while fostering a supportive and professional team environment.
What You'll Do
Key Responsibilities
Operational & Compliance Management: Ensure AGPAL accreditation and RACGP compliance while overseeing policies, infection control, risk management, and daily clinic operations.
Financial & Business Management: Collaborate with external payroll and bookkeeping services to manage financial operations, including budgeting, payroll, invoicing, and Medicare/DVA billing compliance. Oversee claims processing for Medicare, DVA, private health insurance, and WorkCover. Monitor financial performance to enhance profitability and cost efficiency. Handle funding applications and government incentive programs like PIP and WIP
Human Resources & Leadership: Oversee recruitment, training, and performance reviews for clinical and administrative staff. Promote a positive workplace culture, ensuring engagement and professional growth. Manage rosters, leave, and HR policies in compliance with Fair Work regulations.
Patient Experience & Quality Improvement: Ensure compliance with privacy laws, confidentiality policies and patient data security protocols. Implement patient feedback systems and address complaints effectively. Lead continuous quality improvement efforts, including audits and clinical governance. Support chronic disease management and health promotion initiatives.
IT & Digital Health Management: Oversee practice management software (Best Practice). Manage telehealth services and IT infrastructure, coordinating with IT providers for technical support.
Essential Criteria:
Proven experience in medical practice management, preferably within an AGPAL-accredited general practice.
Strong knowledge of RACGP Standards, Medicare Benefits Schedule (MBS), and healthcare compliance.
Minimum 2+ years of experience in a leadership or supervisory role within a medical or healthcare setting with the ability to mentor and motivate a diverse team.
Financial acumen, including experience with budgets, billing, and financial reporting.
Excellent interpersonal and communication skills, with a strong patient-service focus.
Experience in developing and implementing policy, governance frameworks, and strategic planning.
Desirable Criteria:
Understanding of veteran-specific health challenges (e.g., mental health, chronic conditions, rehabilitation) and experience working with veteran patients or knowledge of veteran health services (professional or personal)
Formal qualifications in business, healthcare administration, or practice management. For example, Certification in Practice Management (e.g., Diploma of Practice Management).
Experience with PIP, WIP, and chronic disease funding models.
Knowledge of workplace health & safety and infection control best practices.
Skills:

Proficient in financial management and budgeting.
Excellent knowledge of healthcare regulations and compliance.
Strong analytical and problem-solving skills.
Ability to manage multiple priorities in a fast-paced environment.
Proficiency in practice management software (Best Practice, Cubiko, HotDoc, AutoMed) and other relevant digital tools.
Working Conditions
Full-time position (8:00am - 5:30pm, Monday to Friday).
Availability to work within standard practice hours and willingness to support after-hours requirements.
Well supported by current management team of Chief Operating Officer, Operations Coordinator, Nurse Manager and Assistant Practice Manager
