Administrative Assistant – Ascending Psychology
Location: Murwillumbah, NSW
Employment Type: Part-Time

Role Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support the daily operations of our practice. The role involves managing appointments, processing payments, handling client inquiries, maintaining accurate records, and ensuring the smooth flow of administrative tasks.
Key Responsibilities
Client Coordination & Scheduling:
Manage appointment bookings, reschedules, and cancellations via our practice management system (Splose).
Maintain communication with clients regarding appointments, invoices, and general inquiries.
Ensure accurate documentation of client records and compliance with confidentiality standards.
Billing & Payments:
Process payments, issue invoices, and track outstanding balances.
Reconcile daily transactions and follow up on overdue payments in line with practice policies.
Manage Medicare, private health insurance, and third-party payments.
Administrative & Office Support:
Review and respond to emails twice daily to track payments, process reports, and communicate with clients and practitioners.
Ensure all reports and documents are prepared, stored, and filed correctly.
Support practitioners with administrative tasks, including referral processing and document organization.
Practice Operations & Compliance:
Ensure all policies and procedures are followed to maintain efficiency and compliance.
Assist with onboarding new staff and maintaining practitioner documentation.
Implement structured workflows to track outstanding tasks, payments, and client communications.
Skills & Experience
Previous experience in medical/psychology practice administration or a similar role.
Strong organizational and time-management skills with attention to detail.
Proficiency in practice management software (Splose preferred) and Microsoft Office/Google Suite.
Ability to handle sensitive information with confidentiality and professionalism.
Excellent communication skills, both written and verbal.
Ability to work independently while collaborating with a team.
