About Us:
Located in the bay of Williamstown with breathtaking panoramic views of the city, the Royal Victorian Motor Yacht Club is renowned for its welcoming atmosphere, rich history, and commitment to providing a premium boating club and hospitality experience.
As the club continues to evolve, we are seeking a Part-Time Finance & Administration Assistant to provide crucial support to both the Administration Manager and Office Administrator. This role will play a key part in ensuring smooth financial operations, administrative efficiency, and effective meeting coordination.
About the Role:
This part time position (4 days per week, 9:00 AM – 5:00 PM Wednesday 10:00am – 6:00pm) is ideal for a detail-oriented professional seeking a role that balances payroll & financial administration, meeting coordination, and general support functions.
The successful candidate will assist with invoicing, payroll, financial reconciliations, member services, Committee pack preparation, and administrative coordination and committee support ensuring key processes run smoothly. This role operates within a collaborative, open-plan office environment, and as a member-centric business, professionalism and discretion are essential.
Key Responsibilities:
Reporting to the Committee, the successful candidate will play a vital role in supporting financial operations, administrative functions, and governance processes.
This includes:
Financial Administration: Assist with invoicing, payroll processing, reconciliations, and financial record-keeping.
Meeting & Committee Support: Prepare agendas, board packs, and record minutes for key meetings, AGM - QGM and committee meetings.
Administrative Assistance: Provide direct support to the committee & existing office staff, ensuring seamless day-to-day operations.
Member support and engagement
Software & System Management: Work within Xero, Deputy and Microsoft office software
General Office Support: Assist with internal communications, reporting, and various administrative duties as required.
Work with the club functions team to organise venue tours and pricing
About You:
We are looking for a proactive and detail-driven individual with:
Experience in finance, payroll, administration, or accounts support (preferred).
Proficiency in Microsoft Office (Word, Excel, Outlook).
Familiarity with Xero & Deputy, or similar finance and payroll software (beneficial but not essential – training provided).
A high level of confidentiality, accuracy, and attention to detail.
Excellent organisational and multitasking skills.
The ability to work independently and efficiently within a structured environment.
