Temporary Part/Full-Time Position | Commencing June 2025
Are you an organised and detail-oriented professional with a heart for families and early learning? Faith Family Early Learning in Taree is seeking an experienced and proactive Administration Assistant to join our team on a temporary contract to cover a 7 month period of maternity leave (June - December).
This role plays a vital part in supporting the smooth daily operations of our early learning centre, helping staff, supporting families, and enabling our leadership team to deliver exceptional care and education.
Key Responsibilities
You will work closely with the centre leadership to manage administrative processes and ensure a welcoming and well-functioning environment. Your duties will include:
Maintaining a professional and friendly reception space
Managing phone, email, and face-to-face enquiries with warmth and efficiency
Supporting enrolments, family onboarding, and maintaining compliance documentation
Maintaining up-to-date child records (e.g. immunisations, health plans, consent forms)
Tracking and following up on attendance, absences, and CCS requirements
Processing orders, tracking expenses, and handling basic invoicing
Preparing communications for families and supporting internal centre notices
Assisting with compliance documentation, audit preparation, and QIP updates
Supporting incident reporting, hazard logs, and first aid supplies
Coordinating schedules, meetings, and centre-wide communications
Providing support to educators with signage, forms, and other resources
Assisting with onboarding relief and new staff and maintaining up-to-date staff records
Skills and Attributes

Strong organisation and time management skills with the ability to manage multiple tasks
High attention to detail and confidentiality
A proactive mindset with the ability to work independently and as part of a team
Confidence using computers and digital systems, particularly for data entry and family communication
Calm and flexible approach to problem-solving in a dynamic childcare environment
Experience and Requirements
Prior experience in administration, ideally in an early learning or school setting
Working knowledge of the Child Care Subsidy (CCS) system and National Quality Framework (NQF)
Experience using early learning software such as HubHello (HubWorks) and Kinderloop (or similar platforms such as Xplor or QikKids)
Proficiency with Microsoft Office Suite
Current Working with Children Check (or willingness to obtain)
Certificate in business administration or relevant qualification (preferred)
