About the role

This is an exciting opportunity to join the team at JusticeNet SA as their Office/Operations Manager. In this role, you will be responsible for overseeing the day-to-day operations and administrative functions of the organisation; whilst using your experience and initiative to advance the organisation towards best practice. Based in our Adelaide CBD office, this position is pivotal in ensuring the smooth running of our legal services charity. The position involves dealing with confidential client material and requires the highest levels of confidentiality and integrity.

What you'll be doing

Business Management & Fundraising

Work with bookkeeper to:

Manage financial operations including accounts receivable, invoicing, payment processing, and financial reporting

Manage payroll processing and HR administration

Liaise with auditors to ensure financial compliance and accuracy

Support grant applications and reporting processes

Assist with strategic planning implementation

Oversee budget development and monitoring in conjunction with the CEO

Coordinate funding management, including membership tracking and reporting

Develop and maintain operational policies and procedures

Provide backup support to the CEO during absences.

Operations Management & Executive Support

Serve as the primary point of contact for office administration and facilities management

Manage all IT systems, website maintenance, and technology infrastructure

Oversee practice management systems and processes, including compliance reporting

Coordinate with external vendors and service providers

Manage inventory and office equipment procurement

Prepare meeting agendas and minutes for staff and board meetings

Implement and maintain operational policies and procedures including efficient recordkeeping systems.

Staff & Volunteer Management / HR

Coordinate recruitment, onboarding, and offboarding processes

Coordinate volunteer programs and secondee relationships

Manage staff scheduling and leave arrangements

Coordinate staff development and training initiatives

Maintain personnel records and compliance documentation.

Program Support

Provide support to all JusticeNet program areas

Coordinate membership management across all programs

Coordinate cross-program collaboration and initiatives

Support data collection and impact measurement / reporting

Stakeholder Management & Communications

Work with JusticeNet staff members to:

Manage internal and external communications including newsletters and updates, in conjunction with JusticeNet staff members

Coordinate event planning and execution (Walk for Justice, Art for Justice, AGM, etc.)

Maintain website content and social media presence

Preparation of standard reports and presentations

Manage stakeholder database and communications.

Communicate with members and respond to member enquiries

Communicate with sponsors, donors and other stakeholders to enhance their engagement with JusticeNet

What we're looking for

Significant experience (5+ years) in an office management or similar administrative role, preferably in a non-profit or legal setting

Strong financial management skills including invoicing and reporting

Experience with HR functions and volunteer management desirable

Excellent organisational and time management skills with the ability to multitask and prioritise

Strong communication and interpersonal skills with a team and stakeholders

Ability to maintain confidentiality and exercise initiative and discretion

Proficiency with financial software (MYOB), CRM systems, and Microsoft Office suite. Proficiency in ActionStep desirable

Understanding of legal services and/or non-profit operations and/or fundraising experience preferred

Someone connected to and committed to the South Australian community and willing to access their network and connections to advance JusticeNet's aims of social justice and equality
