We're seeking an experienced and organized Office Operations Manager to join our team at CFM Air Conditioning in Hallam. In this full-time role, you will be responsible for overseeing the smooth and efficient running of our office operations, ensuring our business runs like a well-oiled machine.
What you'll be doing
Manage and coordinate all administrative functions.
Reporting on various aspects of the business to various departments as well as profit and loss on contracts
Track and report on technician’s productivity
Manage the WIP
Manage and champion our ISO accreditation, provide continuous improvement
Champion all IT requirements and software, and be technologically savvy
Review, document and manage policies and procedure's, and look for efficiencies to streamline processes
Review staff PD's on an ongoing basis to ensure efficiencies are being achieved
Shield the MD from time wasting items and prioritize all incoming opportunities
Assist the MD with the growth of the contract maintenance base.
Oversee the implementation and maintenance of office policies, procedures, and systems to optimize productivity and efficiency
Liaise with internal departments to identify and address operational issues, implementing solutions to improve processes
Supervise and provide guidance to the administrative support team, delegating tasks and monitoring performance
Contribute to the development and implementation of the company's strategic objectives
Assist with special projects and other duties as required
What we're looking for
Minimum 5 years' experience in an office management or administrative leadership role preferably in a professional trade based services business.
Excellent organisational and time management skills with a keen eye for detail
Experience in CRM systems (Preferably Simpro)
Strong communication and interpersonal skills, with the ability to work collaboratively with teams
Problem-solving skills and the ability to think critically to identify and implement process improvements
Experience in supervising and developing administrative staff
Strong background in customer service and knowledge of sales
Good financial acumen
