Responsibilities:
Office Administration:
Manage and maintain office supplies, equipment, and vendor relationships.
Handle incoming and outgoing mail, phone calls, and emails in a professional and timely manner.
Maintain organized filing systems (both physical and electronic).
Schedule appointments, manage the shop calendar, and coordinate workflow.
Prepare and process invoices, purchase orders, and other administrative documents.
Assist with basic bookkeeping tasks, including data entry and reconciliation.
Ensure the office environment is clean, organized, and welcoming.
Customer Service:
Serve as a primary point of contact for customers, providing excellent customer service in person, over the phone, and via email.
Greet customers, understand their needs, and direct them appropriately.
Handle customer inquiries, complaints, and feedback professionally and efficiently.
Process payments and maintain accurate customer records.
Follow up with customers to ensure satisfaction.
Team Support:
Assist the Workshop Manager with various administrative tasks and projects as required.
Support the service technicians with administrative needs, such as job card processing and tyre ordering assistance.
Maintain employee records and assist with basic HR-related tasks (e.g., timekeeping, leave requests).
Facilitate communication between staff members.
Operational Support:
Assist with tyre inventory management and tracking.
Coordinate with suppliers for tyres, parts and materials.
Ensure compliance with safety regulations and company policies.
Assist in maintaining accurate records of services performed.
Identify and implement process improvements to enhance efficiency.
Qualifications and Skills:
Proven experience as an Office Manager or in a similar administrative role.
Excellent organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
Strong communication skills, both written and verbal, with a professional and customer-focused approach.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Experience with basic bookkeeping principles and software (e.g., Xero, MYOB) is desirable.
Ability to multitask and work effectively in a fast-paced environment.
Strong problem-solving skills and attention to detail.
Ability to work independently and as part of a team.4\
A positive attitude and a strong work ethic.
Familiarity with automotive terminology and tyre services is an advantage but not essential.
Fluent in Spanish is desirable.
