Eco-Centric Commercial Firm | Architectural or Construction Industry Experience Preferred
A fantastic opportunity exists for an Office Manager to join a high-end architectural business in South Melbourne. This eco-centric commercial firm is seeking a detail-oriented and proactive professional to oversee administrative, financial, and project coordination tasks.
Your Key Duties & Responsibilities:
Administrative Duties
- Managing office supplies, equipment, and vendor relationships
- Organising meetings, taking minutes, and preparing reports
- Handling correspondence, emails, and phone calls
- Ensuring compliance with office policies and procedures
Financial & HR Support
- Assisting with payroll and managing invoices
- Tracking expenses and budgets using Rapport3 (cloud-based project management software)
- Overseeing employee onboarding and HR documentation
- Coordinating staff training and professional development
Project & Client Support
- Assisting with project administration and documentation
- Coordinating client meetings and maintaining records
- Managing contracts, permits, and compliance requirements
- Supporting architects with submissions and reports
Office Coordination & Culture
- Ensuring a productive office environment
- Organising team-building activities and company events
- Overseeing health and safety compliance
- Acting as a liaison between management and staff
Skills & Experience needed:
- Experience in office management, administration, or operations
- Preferably in an architectural, engineering, or construction firm)
- Strong administrative and organisational skills
- Experience handling financial tasks (invoicing, payroll, expense tracking)
- Familiarity with architectural or construction project workflows ideal
- Experience in managing invoices, and expense tracking using cloud based project and resource management software Rapport3
- Proficiency in Microsoft Office, and project management tools
- Strong problem-solving skills and ability to take initiative
