About the role
Join Supervision Group as a Practice Manager based in our South Perth, WA office. In this full-time role, you will be responsible for providing exceptional administrative and office management support to ensure the smooth running of our operations.
What you'll be doing
Manage day-to-day office administration, including coordinating schedules, ordering supplies, and liaising with vendors;
Assist with the development and implementation of office procedures and systems;
Support the management team with various projects and tasks;
Co-ordinate 13 week team reviews;
Manage leave and human resource tasks;
Maintain accurate records and databases
Contribute to a positive team environment and foster strong relationships with colleagues
Mentoring and supervision of office administration;
Co-ordinating the yearly annual tax return program;
Manage the ongoing workflow;
Preparing completed work for electronic signing or meetings;
Preparing new engagements/ proposals;
Onboarding new clients;
Archiving disengaged clients;
Data base management;
Co-ordinate monthly invoicing;
Arrange conference, social events and client functions;
Dealing with IT matters and liaising with external IT support;
Refining and improving company systems and administrative processes;
Investigate new software and integrations with existing tech stack;
Other general administrative tasks relating to the general running of the business.
What we're looking for
Proven experience in office management or a similar administrative role
Excellent communication and interpersonal skills, with a customer-focused approach
Strong organisational and time management abilities, with the capacity to multi-task
Proficient in using Microsoft Office suite and other office software
Ability to work independently and as part of a team
Adaptability and a proactive problem-solving mindset

Skills and experience
The Ideal Candidate:
5 years' minimum experience in client service administration within an accounting practice;
Social and outgoing nature who has a team player mentality;
The ability to join in, and add to, the positive culture of our practice;
You will be reliable, hands-on and energetic about your role;
High attention to detail;
Ability to prioritise and strong time management skills;
Microsoft Office Suite;
Word, Excel, Teams, Powerpoint, Sharepoint
Strong administration skills;
Bookkeeping experience highly desired but not essential;
Experience using accounting systems including:
Xero Practice Manager (XPM);
Xero and MYOB;
Experience with Practice Ignition to prepare proposals and engagements;
Electronic document management systems;
Electronic digital signing platforms;
Be familiar with ASIC portal, forms and requirements;
Be familiar with the ATO;
Have exceptional customer service skills and a positive "can do attitude";
Have excellent presentation and communication skills;
Experience in using collaboration applications would be advantageous;
