About Us:
We are a well-established civil construction company based in Brisbane, with a diverse team of office based staff and field operators. In addition to our core civil construction business, we also operate a personnel division and a plant and machinery rental branch. As we continue to grow, we are looking for a highly organized and proactive Office Administration & Office Manager to manage and oversee all office operations.
Role Overview:
As the Office Administration & Office Manager, you will play a crucial role in ensuring the smooth operation of our office and supporting the efficiency of the entire organization. You will be responsible for managing a dynamic office environment, including the oversight of office staff, document control, workflow management, and general office duties. You will be the central point of contact for all administrative functions, supporting both office and field teams.
Key Responsibilities:
- Oversee and manage daily office operations for a team of office staff.
- Lead, supervise, and mentor office administrative staff to ensure efficient workflow and performance.
- Manage document control processes, ensuring proper handling, storage, and retrieval of documents.
- Develop and streamline office workflows to improve efficiency and productivity.
- Support the coordination of labor hire and plant rental operations in collaboration with relevant teams.
- Maintain office supplies, equipment, and manage office space.
- Oversee financial and administrative processes such as invoicing, payroll coordination, and budgeting.
- Assist in recruitment and onboarding processes for office and field staff.
- Provide support in organizing meetings, events, and staff training sessions.
- Ensure compliance with workplace health and safety regulations and policies.
- Handle general office correspondence and serve as a liaison between the field and office teams.
Key Skills & Qualifications:
- Proven experience in office administration or management, preferably within the construction industry.
- Strong leadership and staff management skills, with the ability to motivate and guide a team.
- Excellent organizational and time-management abilities.
- High attention to detail and strong document control skills.
- Proficiency in office software (MS Office Suite, document management systems, etc.).
- Strong communication and interpersonal skills.
- Ability to adapt in a fast-paced and evolving work environment.
- Experience in managing workflows, HR processes, and basic accounting/admin functions.
- Knowledge of safety regulations and compliance is an advantage.
- Experience with labor hire or plant and machinery rental operations is a plus.
