Position Summary:
Cleopatra Cleaning & Restoration has a fantastic opportunity for an Administration Manager. The role is based in our Tweed Heads office on the NSW & QLD Border. Your role will be pivotal in streamlining workflows, improving operational efficiency, and optimizing systems. You'll manage key administrative functions, from scheduling jobs and managing invoicing to implementing administrative process improvements. Your strategic thinking and administrative management skills will support the company’s growth and operational excellence, making your position integral to our continued success.

A typical a day for our field team is helping an insurance mould restoration job, a local school water damage job or a deep clean of council facilities. As the Administration Manager, you'll lead a dynamic team focused on optimization and continuous process improvement, using innovative systems and software to enhance business processes while maintaining a seamless customer experience.

We are seeking an experienced administration leader who is technically capable, a great communicator, passionate about optimization and an eye for detail. As part of our management team, you’ll be empowered to make strategic decisions and drive change. You will also receive ongoing external 1:1 coaching to help you further develop your on the job and strategic skills.

What You’ll Be Doing:

  • Efficient and accurate processing of Quotes, jobs, invoicing, and other activities
  • Ongoing Administration department improvement
  • Accounts and Financial management
  • Oversee job Scheduling and Coordination
  • Monitoring of various KPIs
  • Supporting the team with various tasks to ensure efficient business operations
  • Reporting and Analysis
  • General administration task management including WHS filing, communication with stakeholders, employee onboarding, reporting and job workflow management etc.

Role Requirements:

  • Experience with trade software is highly desirable but not mandatory, for example SimPRO or PrimeEcoSystem
  • Background in Trade Industry, Insurance or Restoration operations is highly desired
  • Advanced Microsoft Office and spreadsheet skills.
  • Strong interest in systems optimization and improving operational processes.
  • Professional qualifications in business management or related field are desirable.
  • 3+ years of experience in an operations role, Administration manager or managing a trade business.
  • Proven track record in optimizing systems end-to-end, including invoicing, job tracking, and job finalization.
  • Excellent ability to build and maintain client relationships while driving business improvements.
  • Strong written and verbal communication skills, with the ability to prioritize and present effectively.
  • Ability to make decisions under pressure with minimal supervision.
  • Ability to inspire and motivate staff at all levels.
