đź’ĽPosition Overview:
We are seeking a dedicated and professional Medical Receptionist to join our team on a full-time, permanent basis. Reporting to the Operations Manager, you will play a key role in ensuring the smooth day-to-day running of the clinic by performing a range of administrative and front-of-house duties.
We offer a wide range of specialist services including Gastroenterology, Oncology, Geriatric Medicine and more. Working both front of house reception and general administrative duties, the appropriate candidate will have medical administration, reception, and be able to accurately book and schedule patients, provide administrative and organisational assistance to our clinic and be able to work pro-actively in a fast-paced environment, where patient care remains top priority.
🩺Duties & Responsibilities:
Patient Management (Coordination & Scheduling)
Welcome patients warmly, manage the reception area, and ensure a professional, friendly experience.
Coordinate and confirm appointments, handle reschedules, and issue reminders efficiently.
Manage incoming calls, emails, and patient inquiries with prompt, courteous communication.
Process patient payments and maintain accurate financial records.
Work both independently and collaboratively to deliver exceptional patient service.
Administrative Support
Transcribe and prepare medical consultation reports, letters, and referrals accurately and on time.
Maintain and update patient records, ensuring accuracy and confidentiality.
Assist with patient registration, data entry, and verification of Medicare, DVA, and private health details.
Manage office supplies, cleanliness, and organisation across reception and clinical areas.
Medical Practice Operations
Collaborate with clinicians and staff to ensure smooth daily operations.
Support meetings, conferences, and procedure bookings with hospitals and specialists.
Manage electronic health records and medical software systems effectively.
Liaise professionally with Medicare, DVA, private insurers, hospitals, and other medical providers.
Compliance & Confidentiality
Uphold all Privacy Act requirements, ensuring patient information is handled discreetly.
Adhere to clinic policies, procedures, and quality standards to maintain regulatory compliance.
🛠️Essential Skills and Qualifications:
To excel in this role, you should possess the following qualifications and attributes:
Passionate about delivering exceptional patient care.
Exceptional interpersonal and communication skills, with a preference for proficiency in English (mandatory), Mandarin (preferable), Cantonese (preferable), and other languages.
Have a collaborative and flexible approach, willing to adapt as competing priorities arise.
Capability to work independently as well as within a team.
Strong time-management, organisational skills, and attention to detail.
An eye for detail and an ability to multi-task and cope well under pressure in a range of reception/administrative roles
Proficiency in computer applications and software (eg, Outlook, Word, Excel, etc).
Proficiency in Practice Management software (eg. Gentu, Xestro, etc) – (Optional).
Drives licence and own car is essential.
Australian working rights are mandatory.
