As we continue to grow, we’re looking for an Administrative Assistant to join our team and help keep everything running smoothly behind the scenes.

About the role

We’re looking for a proactive and organised Admin Assistant who enjoys variety in their day. You’ll be supporting our team with a mix of administrative, creative, and operational tasks — from managing documents and client accounts to helping create social media content and coordinating events.

This role also offers an exciting opportunity to grow into a client-facing Virtual Assistant (VA) role, where you’ll support our clients directly with administrative and business support needs as your experience develops.

Key Responsibilities

Client Support & Documentation
Assist with Hubdoc and client account work: uploading, reconciling, and maintaining accurate digital records.

Social Media & Content Creation
Help manage our social media channels, create and schedule posts, and assist with video/reel content for marketing campaigns.

Event Support
Provide hands-on assistance with event planning, logistics, and setup for both client and internal events.

HR & Office Administration
Support the creation and organisation of HR documents and assist with general office administration, and coordination tasks.

Client VA Work (Future Growth)
Develop your skills and knowledge to take on Virtual Assistant work for ICS clients, supporting their day-to-day operations and helping them stay organised and efficient.

General Admin Support
Assist the ICS team with daily administrative duties, ensuring smooth and efficient operations across the business.

About You

You’re a detail-oriented multitasker who loves helping others and keeping things organised. You’ll thrive in a role that mixes administration with creativity and collaboration.

You’ll bring:

Strong organisational and time management skills

Excellent communication and writing ability

Confidence using Microsoft Office and online platforms: Hubdoc, Xero and Servicm8 experience a bonus!

Familiarity with social media tools (Instagram, Canva, Zoho Social, etc.)

A positive attitude and a willingness to learn

Experience in admin, marketing, or client service roles (preferred but not essential)

An interest in developing into a client-facing Virtual Assistant role
