About the role
The Business Support Officer will work in the Board Secretariat Team to provide administration support to the Games Independent Infrastructure and Coordination Authority Board and its Committees, as well as providing general administration support to the broader team.
Working closely with the Board Secretary, you will assist with diary management, meeting coordination, travel management, mailbox management and ensure accurate record keeping.
As the team’s Business Support Officer, you will undertake a variety of activities to support the effective functioning of the team, including expense reimbursements, records management, overseeing correspondence and provision of logistical support.
In joining the Authority, you will join a team of hard-working professionals, dedicated to preparing Queensland for the 2032 Olympic and Paralympic Games.
The salaries on offer are between $95,000 and $101,000 total remuneration per annum, which includes 12.75% superannuation. This is a 6-Month contract with the possibility of extension.

The Games Independent Infrastructure and Coordination Authority (GIICA) is laying the foundations for the 2032 Olympic and Paralympic Games and beyond.

About your Responsibilities
Manage the Board Secretariat mailbox, triaging incoming messages, responding where appropriate and raising awareness of high priority communications requiring attention with the Board Secretary.
Ensure all Board related records are kept and maintained within the records management system and the Diligent Board Management system.
Undertake a broad range of administrative duties to support the Board and the broader team, including but not limited to, meeting room bookings, ordering catering, arranging travel, printing, corporate card reconciliations and stationery orders.
Coordinate logistics for Board and Committee meetings, events and travel.
Maintain confidentiality on sensitive Board related communications and briefing materials.
Assist with coordination and distribution of Board and Committee papers, actions and decisions, ensuring they are circulated within agreed timeframes.
Create and maintain registers and email distribution lists related to Board Secretariat functions.
Assist with licence administration and contract management of Diligent Board Management software.
About You
Excellent written and verbal communication skills, with the ability to develop rapport with a wide and complex range of senior stakeholders.
A passion for accuracy, using your keen eye for detail, including accurate and timely record keeping.
Works well under pressure and in a fast-paced work environment, whilst maintaining a professional and friendly demeanour, with a collaborative and customer centric approach to work.
Highly organised, with the ability to influence others to ensure deadlines are met.
Demonstrates discretion and maintains strict confidentiality, ensuring that sensitive information is handled with integrity and in accordance with organisational protocols.
Ability to adjust work schedules to meet the requirements of the Board, including working outside standard business hours on occasion where needed.
Demonstrated experience using HP TRIM Records Manager will be highly regarded.
Demonstrated experience working with Boards and/or senior executives will be highly regarded.
