Reports to: Heads of School, Dean and Director of Studies, Senior Administration Manager
Required Responsibilities:
· Prepare timetables and room allocations for release on the basis of projected enrolments and unit offerings.
· Set up and manage Online enrolments every trimester.
· Organise and coordinate academic events such as orientations, seminars, workshops, and faculty meetings.
· Ensure compliance with accreditation requirements and institutional policies.
· Maintain academic records, generate reports, and manage program evaluations.
· Manage Recognition of Prior Learning (RPL) and Credit Transfer processes, including timely assessment of applications, liaising with academic staff for approvals, ensuring compliance with regulatory requirements, and maintaining accurate records.
· Liaise with Student Management System, and Learning Management System (LMS) providers to request and coordinate system updates, enhancements, and integrations to support institutional growth and evolving academic needs.
· Administer and prepare reports for management and governance bodies.
· Prepare reports for the annual Student data packet to the TCSI
· Organise and participate in Examiners Board meetings, including preparing grade reports, ensuring moderation processes are completed, presenting special consideration cases, and documenting final decisions in accordance with academic policy and regulatory requirements.
· Liaise with Academic team and inform students when their academic performance conditions are not being met, and follow relevant procedures.
· Oversee requests for suspension, deferral, extension, leave and reduced or overload of study of units.
· Audit all units prior to the commencement of each teaching period to ensure academic resources, assessment information, and learning materials are complete, accurate, and accessible.
· Ensure that the LMS is updated with all required content (unit outline, assessment briefs, weekly learning materials, and readings) before the start of teaching.
· Manage academic misconduct processes, including receiving reports, coordinating investigations, ensuring due process, and supporting the application of sanctions in accordance with institutional policy and regulatory standards.
· Ensure all student results are accurately updated, verified, and correct before official release.
· Oversee the review and verification of eligibility for graduating students, ensuring all course requirements are met, results are finalised, and records are accurate for graduation approval.
· Follow TEQSA procedures and policies.
· Perform such other related duties as may be directed by the Senior Administration Manager, Heads of School, Dean, and the CEO,
Experience:
Bachelor’s degree in Education, Business Administration, or a related discipline.
Minimum 3–5 years’ experience in academic administration or higher education operations.
Demonstrated experience in timetabling, student enrolment management, and academic scheduling.
Experience with Learning Management Systems (e.g., Moodle, Canvas, Blackboard) and Student Management Systems (SMS).
Proven experience coordinating academic events, such as orientation programs, seminars, or board meetings.
Familiarity with TEQSA, ESOS, and National Code compliance requirements in Australian higher education.
Experience managing Recognition of Prior Learning (RPL) and Credit Transfer processes.
Experience preparing reports for governance bodies, external regulators, and data reporting to TCSI (highly desirable).
Experience supporting examiners’ boards, grade moderation, and academic integrity investigations.
Skills and Competencies:
Strong understanding of academic policies, procedures, and quality assurance frameworks.
Excellent organisational and project management skills, with ability to manage multiple deadlines.
High level of accuracy and attention to detail in record-keeping and reporting.
Excellent communication and interpersonal skills to liaise effectively with academic and professional staff, students, and external partners.
Ability to interpret and apply institutional and regulatory policies and procedures.
Advanced computer literacy.
Demonstrated ability to work independently and collaboratively in a fast-paced academic environment.
Commitment to continuous improvement and a student-centered approach in administrative processes.
