POSITION DESCRIPTION
Contracts Administrator, office based position with onsite visits, working on multiple projects new homes and large scale renovations, liaising with architects, clients, contractors and employee’s, grow your role with the company, report to the director, great team environment.
POSITION SUMMARY
Client contract’s co-ordination and management
Materials procurement and Sub-contractor procurement
Progress claim assistance and external cost variations
Managing design compliance and quality control documentation
Compile accurate project scope of works
All other general administrative duties as reasonably directed by the Managing Director.
RESPONSIBILITIES & DUTIES
General Administration
Attend all incoming phone and email communication with professionalism and efficiency.
All printing, mail, and typing as required.
Provide all other administration support to the EBC team as reasonably required or as directed by the Managing Director.
Contracts Administration
Administration of contracts and the associated documents of residential projects
Dealing with relevant councils, certifiers, engineers, etc
Preparation of contracts for subcontractors and amending discrepancies
Identifying scope of works for specific projects
Planning and scheduling trades
Monitoring progress throughout projects
Updating clients and trades of projects status
Administrative support for the Project Manager and Site Manager
Conducting and assisting in site inspections
Site Administration Support
Set up project site folders with specific plans as required and/or directed by Managing Director or Site Supervisor
Assist Site Supervisor with liaison and scheduling of contractors
Assist Site Supervisor with vetting Contractors (source copies of official qualifications and tickets if and where required)
QUALIFICATION AND SKILLS
The successful candidate will ideally demonstrate;
Tertiary qualification, preferably Construction Management or Bachelor of Architectural Studies degree (Or similar) required
2 years experience in a similar role or contract administration
Professional presentation
Proactive attitude
Strong negotiation & analytical skills
Demonstrated time management & organisational skills
Ability to work in a team environment
Excellent verbal and written communication skills in English
Hold a current driver’s license
Computer literacy with experience using Microsoft Office applications
Strong analytical and problem-solving skills
KPI’s
Progress payments and costs variations sent to clients weekly
Prime cost materials ordered for each project checked weekly
Prepare new client contracts accurately, monthly
Maintain an empty email weekly, less than 10 is acceptable

Computer Skills
Proficient in the MS Office Suite, Xero accounts
Excel – reports
Wunderbuild software (not essential but preferable)

Ability to prioritise effectively and coordinate multiple tasks.
Strong administrative skills
Displays strong attention to detail.

The Details
Working at our office located in Maroubra
Hours are Monday to Friday between 8 – 5pm, We are flexible with days/hours for the right candidate.
