Salary: $75,000 – $85,000 per year

Position Overview:

Raza Event Hire, a leading provider of event equipment and solutions in Victoria, is seeking a proactive and detail-oriented Contract Administrator to join our dynamic team. In this role, you will play a key part in managing, reviewing, and overseeing contracts across a variety of events, ensuring compliance, smooth project delivery, and strong client and supplier relationships.

The ideal candidate will have excellent organisational skills, a strong eye for detail, and proven experience in contract administration within the events, hospitality, or construction industries. You will collaborate closely with internal teams, clients, and vendors to negotiate terms, monitor contract performance, manage risks, and support the successful delivery of high-quality events.

Key Responsibilities:

● Prepare, review, and negotiate contracts and variations with clients, venues, suppliers, and service providers for events and equipment hire.

● Manage, maintain, update, and renew all contract records and documentation to ensure accuracy and accessibility.

● Respond to queries and resolve issues related to event contracts, equipment hire, services, and client or supplier concerns.

● Work closely with event managers, internal teams, clients, suppliers, and other stakeholders to finalise contract terms and ensure event objectives are achieved.

● Monitor contract deadlines, deliverables, and obligations to ensure all agreements and service requirements are met on time.

● Identify potential risks in contracts, event projects, and services, and provide guidance to management to minimise issues.

● Advise senior management on matters requiring attention and assist in implementing their decisions effectively.

● Oversee contractors and service providers, including tracking changes or variations to work orders or service agreements.

● Prepare, review, and submit reports on contracts, event projects, and operational activities.

● Collect and analyse data related to events, equipment usage, and project outcomes, and report insights to management.

● Interpret and explain contract requirements, terms, and conditions to clients, suppliers, and internal teams, ensuring compliance with policies and regulations.

● Build and maintain strong relationships with clients, suppliers, contractors, and other stakeholders to maximise value and minimise risk.

● Support event managers and operations teams to ensure all contractual obligations are fulfilled for smooth event delivery.

● Assist in resolving disputes, clarifying contract terms, and addressing client, supplier, or stakeholder concerns.

● Keep up-to-date with relevant legislation, including consumer protection and workplace safety (WHS), to ensure compliance.

● Coordinate arrangements for new office spaces, event sites, or equipment storage facilities as required.

Qualifications & Experience:

● A Bachelor or higher qualification in Business, Commerce, or a related field.

● At least 1 year of experience as a Contract Administrator or in a similar role with strong contract management responsibilities.

Skills & Requirements

● Experience in contract administration, preferably in events or related industries.

● Strong understanding of contracts, risk management, and compliance.

● Excellent attention to detail and organisational skills.

● Ability to negotiate, interpret, and explain contract terms clearly.

● Strong communication and interpersonal skills to work with clients, suppliers, and internal teams.

● Ability to manage multiple tasks in a fast-paced environment with professionalism and discretion.
