We’re looking for a motivated and detail-driven Enrolments & Accounts Administrator to join our growing team. This remotely based role is perfect for someone reliable and committed, with sector knowledge, who thrives on organisation, communication and creating positive family experiences.
You’ll bring strong customer service experience with a natural ability to build relationships and, in partnership with each Service Director, guide families through their enrolment and accounts journey with GRO.
What does the role involve?
As the Enrolments & Accounts Administrator you will work closely in partnership with each Service Director to ensure each families onboarding journey with GRO Early Learning is a positive one.
You will be responsible for:
Weekly Tasks CCS Management & Compliance
Reviewing unmarked rolls and missing sign-in/out times in Xplor to ensure all sessions – once at the end of each week is all we need.
Weekly Payments & Account Management
Conducting a weekly review and adjustment of automated Xplor direct debits to ensure billing remains accurate and aligned with advance payment policies
Following up with families regarding declined payments, outstanding balances, and payment arrangements — via text message and email — in accordance with the service’s Debt Management Procedure.
Non Weekly CCS Management & Compliance
The below tasks are on an adhock basis. On the rare occasion this situation would need to be managed as below:
Monitoring families’ CCS entitlements and working directly with them to correct any errors or missing information
Monitoring and managing all CCS messages and error reports through Xplor
Conducting follow-ups with the CCS Helpdesk regarding pending payments, entitlements and technical issues
Working with Xplor support to resolve any technical errors or system-related issues that impact CCS submissions, attendance, or billing
Non Weekly ACCS
Entering in ACCS children into Xplor.
Tracking expiry dates, processing new certificates or determinations, organizing new Letters of Evidence, and confirming weekly payments through Xplor and PRODA.
No weekly Kindergarten Funding
Submitting Kindy forecasts and acquittals 4 times a year. Funding is automatically credited to each family account by Xplor so nothing further to do.
Your commitment
You will be available to work approximately 2-3 hours per week, per service.
Provide clear and concise communication and information to families about programs, CCS fees and create a welcoming environment for all
Be a partner with each Service Director to support them in their busy role.
Guide families through the enrolment process, ensuring compliance and accuracy
Action cancellations promptly, updating records and providing clear communication
Maintain accurate data in childcare management systems and support continuous improvement
What we’re looking for:
Strong organisational and time management skills;
Excellent written and verbal communication with a warm, professional manner;
Customer service or sales experience highly regarded;
High attention to detail and accuracy in record-keeping;
Confidence using Microsoft Office programs (Word, Excel, Outlook, Teams);
Desired experience using childcare management software (Xplor & Storypark a must);
Knowledge of the Child Care Subsidy (CCS) and enrolment processes;
Problem-solving skills and the ability to adapt in a fast-paced environment;
Background in early childhood education and care;
