Administration Officer
The Administration Officer is accountable to the Chief Executive Officer and will:
•Contribute to the strategic direction of Baseball Queensland through the delivery of communication and administrative services to members;
•be responsible for advancing the interests of Baseball Queensland throughout Queensland;
•Assist the CEO with the day-to-day management of the organisation;
•be a dynamic and motivated administrator, with the ability to engage and develop lasting, positive relationships with a diverse range of member organisations and other key stakeholders;
•effectively work in a member-based organisation and work with volunteers;
•have the skill to navigate complex issues prioritising, managing and delivering outcomes that fulfil the priorities of Baseball Queensland; and,
•Liaise with the CEO to plan and prioritise tasks and workload.
Key Responsibilities
The Administration Officer will provide a high standard of administrative and secretarial support to Baseball Queensland and the Board of Management by supporting the following key areas:
COMMUNICATION
•Monitor telephone, email and social media related communications and respond or direct to relevant staff;
•Schedule meetings and appointments;
•Order and take stock of office supplies;
•Processes incoming mail and deliveries;
•Coordinate communication on behalf of teams and/or senior staff;
•Assist with the management of Baseball Queensland email addresses, and,
•Support the booking of travel and accommodation arrangements.
DOCUMENT MANAGEMENT
•Ensure effective and efficient management of electronic documents by ensuring all documents follow an established naming convention and are correctly filed.
BUSINESS OPERATIONS
•Support the CEO in the planning, organisation and implementation of all operations directly controlled by Baseball Queensland;
•Provides support to the Finance Director and Accounts Manager by following up on delayed payments;
•Provide administrative and secretarial support to the CEO, BQ Staff and the Board of Management; and,
•Manage procurement of uniforms and spectator apparel.

•Writes clear, concise correspondence.
•Proofreads all material for errors, omissions, and consistency.
•Timely response to internal and external communications.
•Displays a professional approach to communicating with stakeholders.
•Networks well across the organisation and provides clear communication to colleagues in a timely fashion.
•Initiates regular touchpoints with the CEO (and other BQ staff where required) to clarify priorities, assignments and to resolve any outstanding issues

Location
This position is located at the Baseball Queensland Office at Sportshouse, 150 Caxton St, Milton, Queensland 4064.
Hours of Work
Permanent part time for 30 hours per week with flexible working hours available.
Remuneration Guide
Remuneration is aligned with the Sporting Organisations Award 2020 - Clerical and Administrative Staff Grade 4 ($31.02 / hour)
