Key Duties and Responsibilities
· Organise and oversee the purchase, registration, and maintenance of fleet, demo, used, new and service vehicles.
· Coordinate the arrival, inspection, and delivery of vehicles from port to customer handover, ensuring readiness and compliance.
· Liaise with clients to determine vehicle requirements, provide advice on hire/purchase options, and resolve complaints professionally.
· Plan and implement transportation and delivery schedules for vehicles, ensuring timely and efficient handovers.
· Ensure vehicles are stored and transported under conditions that maintain quality, safety, and compliance with manufacturer and regulatory standards.
· Manage external service providers for detailing, tinting, accessory fitting, and additional vehicle work.
· Maintain operational records, prepare reports, and ensure compliance with Occupational Health & Safety (OH&S) regulations.
· Lead cross-functional teams including service advisors, technicians, detailers, and delivery staff, fostering collaboration and accountability.
· Conduct quality control inspections and ensure vehicles meet brand-specific standards (e.g., BMW) before sale or service.
· Implement process improvements to enhance service reliability, reduce operational costs, and minimise rework.
· Coordinate activities associated with the arrival, departure, loading, and unloading of vehicles from port and between departments.
· Oversee the upkeep and readiness of fleet, demo, and Service Demonstrator Vehicles (SDVs), ensuring optimal condition and availability.
· Assign and coordinate tasks efficiently across workshop staff, PD runners, and external vendors, ensuring smooth operations.
· Collaborate with Sales and Service teams to align vehicle availability with customer delivery timelines and expectations.
· Monitor and report on vehicle readiness KPIs, including turnaround times, quality issues, and customer satisfaction metrics.
· Use tools like Power BI to track fleet performance, budget adherence, and service delivery metrics.
· Develop and refine Standard Operating Procedures (SOPs) for vehicle preparation, inspection, and handover processes.
· Deliver technical product briefings to customers, educating them on vehicle features and upselling service packages.
· Guide and assist Service Advisors in quoting, explaining maintenance schedules, and recommending additional services.
· Ensure customer satisfaction by coordinating timely delivery, resolving post-sale issues, and providing tailored solutions.
· Implement lean delivery strategies that streamline operations, reduce wait times, and improve customer experience.
· Ensure all vehicles meet compliance and warranty requirements, including documentation, inspections, and brand standards.
Qualifications and Experience
· Diploma or higher qualification in Business or Leadership and Management.
· An Australian Qualification is preferable.
Employment Requirements
· At least 1 year of experience required
· Experience with BMW is preferable
