Our client is a leading provider of advanced cardiovascular care, recognised for their commitment to excellence and compassionate patient outcomes. The practice is led by an experienced interventional cardiologist with over a decade of leadership in the field, offering expert assessment, investigation, and treatment across all areas of cardiovascular health.

We are seeking a motivated, mature-minded, and experienced Medical Receptionist/Secretary to join a respected organisation that combines cutting-edge clinical expertise with a truly patient-centred approach.

This is a full-time, permanent position, working Monday to Thursday, 8:30am to 5:00/5:30pm, with a half day on Fridays. You will work closely with an experienced Practice Manager and Registered Nurse, providing efficient front desk reception and administrative support, as well as assisting with clinical procedures such as ECGs and Holter monitoring.

Key duties will include (but not be limited to):

Managing incoming telephone calls and responding to patient enquiries in a professional and timely manner

Preparing and coordinating patient clinics, ensuring smooth patient flow and accurate documentation

Scheduling, rescheduling, and confirming appointments while maintaining up-to-date patient charts and records (using Gentu software)

Processing patient billing and receipting for consultations and in-room procedures, including health fund billing and reconciliation of outstanding accounts

Managing patient registrations and maintaining accurate, confidential records

Collecting and processing patient information, including questionnaires and medical histories

Triage and manage incoming referrals, coordinating with the Cardiologist and Registered Nurse and other clinicians for diagnostic testing

Reviewing and processing medical correspondence through Medical Objects

Assisting with basic cardiac testing, including ECGs, Holters, ABPMs, and HeartBugs—providing patient preparation, support, and clear instructions

Uploading and preparing test reports for cardiologists’ review

Assisting in monitoring and managing consumable stock levels

Conducting billing audits and supporting the Practice Manager with general administrative duties as required

To ensure your success you will have:

Prior medical administrative and secretarial experience in a private specialist practice

Strong IT skills, including experience with Genie software

Ability to adapt and multitask effectively in a fast-paced environment

Provide patient-focused service, ensuring patients are treated with respect and their care and comfort are always a priority

Maintain confidentiality and professionalism in all phone interactions

Adhere to practice policies and procedures

Demonstrate honesty, enthusiasm, and a positive attitude

Reliable and punctual with excellent attendance

High personal and professional standards, coupled with a strong work ethic and dedication to fulfilling role requirements

Strong time management and organisational skills

Remuneration:
