Hummingbird House, Queensland’s only children’s hospice, operates as a medically supported ‘home away from home’ for children affected by a life limiting condition, and their families. The stand-alone purpose-built facility offers 8 guests in care beds, 5 family accommodation suites and a unique ‘end of life’ suite.
Underpinned by the notion of creating a ‘warm embrace’ for children and their families, the multidisciplinary team provides 24/7hr scheduled and emergency specialist care short break stays; pain and symptom management; care at the end of life; and psychosocial support programs for the whole family. With strong connections locally, nationally and internationally with specialist paediatric palliative care services, Hummingbird House is an integrated community-based service delivering flexible child and family centred care.

Your Role as an Administration Officer with Hummingbird House
You’ll deliver person-centred services at our Hummingbird House helping to create meaningful moments to families and children in care. With a focus on our NDIS coordination, some of the things you’ll be doing as our Administration Officer are:
NDIS Coordination and Support
Coordinate supports for referrals for eligible children and families with NDIS funding, in line with services available through Hummingbird House.
Coordinate service bookings and billing for NDIS participants.
Maintain accurate electronic records that meet data collection standards.
Maintain a close relationship with the WMQ Service Navigator and NDIS billing team.
Front Desk and House Operations Support
Answer phone calls and manage enquiries.
Welcome visitors and families to Hummingbird House.
Facilitate access for deliveries and trades people.
Assist with coordinating repair and maintenance requests.
Coordinate and publish the regular Hummingbird House newsletter.
Clinical Support
Support the clinical team with rostering.
Assist with staff onboarding and recruitment.
Provide administrative support for meetings and internal committees.
Assist the team with the bed management and booking process.
This is a part-time opportunity consisting of 22.5 hours per week.
What We’re Looking For
Proficiency in Microsoft Office applications, especially Excel is essential to effectively perform the duties of this role.
Confidence in both written and verbal communication.
Exceptional personal organisation and time management.
Strong professional and interpersonal skills.
A deep commitment to confidentiality and professionalism.
A Valuable Addition, Yet Not a Must-Have!
Understanding of NDIS administration and funding
Experience in a clinical setting as an administrator or with hospice clients
Essential Requirements
Proof of COVID-19 vaccination status (or as required by legislation and WMQ policy)
Relevant probity checks required by legislation and WMQ Limited policy.
Current Driver’s Licence and willingness to travel for work
