About the role

Flex Industries' is seeking a passionate and detail-oriented Service Administrator to join our team in Kwinana Beach, Western Australia. In this full-time role, you will be responsible for providing exceptional administrative support to our customer service and sales teams, ensuring seamless operations and a superior client experience.

What you'll be doing

Manage administration tasks for the service team

Data entry, scanning & electronic filing

Liaise with customers regarding bookings, WIP updates and scheduling related to part requirements.

Communicate with the customer related to estimation adjustments.

Respond to customer queries providing timely and accurate information.

Maintain and update customer records, ensuring data accuracy and integrity

Prepare and process invoices, purchase orders, and other financial documentation, including follow up with cash sale customers.

Coordinate the flow of information between the sales, customer service, and parts departments

Provide administrative support for the service team, including scheduling appointments, on-site access and managing calendars

Contribute to the continuous improvement of administrative processes and procedures

What we're looking for

Proven experience in a client service or service administration role, ideally within the transport or industrial sector

Excellent communication and interpersonal skills, with the ability to liaise effectively with customers and internal stakeholders

Strong organizational and time management skills, with the ability to prioritize tasks and work under pressure

Proficient in using Microsoft Office suite, including Excel, Word, and Outlook

A keen eye for detail and a commitment to accuracy in all aspects of your work
