We’re now looking for an experienced Executive Assistant to work directly with the Director — someone who can bring order, structure, and proactive thinking to each day.
The Role
This is not a traditional scheduling or travel-heavy EA role. Instead, you’ll act as the Director’s right-hand — managing inboxes, prioritising communications, and ensuring that tasks are captured, tracked, and followed through to completion.
You’ll also maintain structure across our task management system (ClickUp), help coordinate activities between the Director and the team, and make sure nothing slips through the cracks.
Your focus is on clarity, organisation, and follow-up — turning noise into order and keeping things moving smoothly.
A Typical Day Might Include
Starting the morning by cleaning and organising the Director’s inbox before the workday begins.
Holding a short morning check-in to review the day’s priorities, key tasks, and follow-ups.
Updating ClickUp task cards, tracking progress, and prompting team members where needed.
Monitoring incoming emails and messages throughout the day, flagging what needs attention and what can be delegated.
Holding a short afternoon debrief — summarising what was completed, what’s pending, and what tomorrow looks like.
You’ll become the Director’s point of calm in a busy environment — ensuring that information flows efficiently, priorities stay aligned, and delivery stays on track.
What You’ll Do
Inbox and Task Management
Manage the Director’s inbox: organise, prioritise, and ensure timely responses.
Translate key emails into ClickUp tasks with clear priorities and ownership.
Follow up on outstanding actions and deadlines with the team.
ClickUp Coordination
Maintain a well-organised ClickUp workspace with clear folders, priorities, and due dates.
Track progress on tasks and ensure updates are accurate.
Summarise activity and flag issues that need the Director’s input.
Daily Support and Communication
Conduct short morning and afternoon calls with the Director.
Provide concise updates on task statuses, follow-ups, and blockers.
Filter and summarise information — highlighting what’s important without overloading detail.
Team Liaison and Follow-Up
Coordinate with project managers and service delivery staff to confirm progress.
Ensure all parties are aligned on deliverables and timelines.
Proactively flag risks or delays before they become issues.
Who You Are
10+ years’ experience as an Executive Assistant or Senior Administrator supporting senior leadership.
Exceptionally organised, with a sharp eye for detail and strong follow-through.
Confident using Outlook, Microsoft Teams, SharePoint, and ClickUp (or similar task management tools).
Excellent English communication skills — written and verbal.
A critical thinker who can handle complex information, filter what matters, and make good judgment calls.
Comfortable managing multiple priorities in a fast-paced environment.
Self-motivated, accountable, and reliable — you learn quickly and get things done without needing reminders.
Not suited for:
Those looking for a project management pathway, or who need close supervision or repeated training. This is a senior, stable EA role for someone who takes pride in being the organisational backbone of a busy business.
