We are seeking an Operations/Schedule Co-ordinator Role. Applications to be part of our Baaz leadership team that will influence, support and develop our people and growing our business.
Key responsibilities include:
• Develop, manage, and publish accurate rosters and shift schedules for security personnel across various sites.
• Coordinate staffing to meet operational and contractual requirements, ensuring all shifts are adequately covered.
• Monitor attendance and manage call-outs, shift swaps, and last-minute roster changes promptly and effectively.
• Liaise with security officers, supervisors, and clients to communicate roster updates in a clear and professional manner.
• Collaborate with recruitment and operations teams to forecast staffing needs and plan accordingly.
• Maintain accurate and up-to-date records in the scheduling system.
•Ensure all rosters comply with workplace legislation, company policies, and relevant industry awards.
• Prepare reports on shift coverage, attendance, overtime, incident reports , variation of hours , punctuality and rostering performance.
• Contribute to process improvements to enhance efficiency and workforce deployment.
Team Leadership/Management
· Frequently help and conduct interviews, meetings and trainings programs for improving standards with staff.
· Assisting, monitoring and getting a report from Payroll, HR, Supervisor's.
· Liaising with our clients and security personnel in regards to shift arrangements and briefing staff of their duties to meet our client's needs.
· Frequently review client requests and respond in a prompt and timely manner,
· Finalize and improve in Shift charts and Rosters for all site.
· Be on-call outside of business hours to assist managers. National helpline of our Operations Team.
· Assist, Control & Improve in rostering and help in arranging coverage for any sickness or annual leave requests.
· Response and resolve to client and customer complaints also stop/minimize for the repeat disorders.
· Take responsibility for building a high performing team within the including Security guards & Crowd controllers.
· Reviewing and giving feedback for guard’s written incident reports and sharing it with client.
· Ensure compliance with all aspects of the site security operations adhere to by the contract and industry regulatory requirements on behalf of Baaz Security
· Creating relevant site management and compliance reports to the business
Skills & Experience
• Previous experience in scheduling, rostering, or workforce coordination (security industry experience highly advantageous).
• Strong organisational and time management skills, with the ability to manage multiple priorities.
• Excellent communication and interpersonal skills to liaise effectively with staff and clients.
• High attention to detail and accuracy in all rostering activities.
• Proficiency with rostering software and Microsoft Office Suite.
• Ability to remain calm and professional in high-pressure situations.
• Flexibility to work after hours or weekends as required.
TO BE CONSIDERED FOR THIS POSITION, YOU WILL POSSESS THE FOLLOWING.
• Possession of a current WA/Interstate Security License, Australian driver’s license, current RSA card, First Aid.
• Coverage of guards by client can be requested 24x7 by client, so ability to answer phone and act request without time delay.
• Previous 1-2 years of management experience in a similar environment;
• Experience in the security industry as a site manager or security consultant;
• Cert IV in Security and Risk Management will be highly regarded;
• Experience in leading medium-sized teams to achieve excellence;
• Strong interpersonal and communication skills
• Highly developed computer (Ms Office (mandatory) + Xero –(preferred) and administration skills,
* Ability to work Day or Afternoon hrs in office,
* Proven ability to work effectively independently and as part of a team
• Good organizational skills and proven ability to establish priorities, manage tasks and meet competing deadlines whilst maintaining attention to accuracy and detail.
• Learning about your organizations products or services and keeping up to date with changes
• Report feedback, performances and status of incidents, LPO/Security officers to Operational manner.
Objectives of this Role:
1. Maintain constant communication with management, staff, and clients to ensure proper operations of the organisation
2.Develop, implement, and maintain quality assurance protocols
3.Grow the efficiency of existing organizational processes and procedures to enhance and sustain the organization’s internal capacity
4.Ensure operational activities remain on time and within a defined budget
