Victoria University (VU) is seeking a proactive and highly organised Senior Project & Administration Officer to provide high-level support to the Chief Student Officer and leadership team within Student Services & Administration.

About The Role:
Reporting to the Chief Student Officer, the Senior Project & Administration Officer plays a central role in ensuring the smooth operation of the Student Services & Administration portfolio. You’ll lead project coordination, manage policies and procedures, contribute to budgeting and reporting, and act as a key liaison across departments and stakeholders.
You’ll also support the Chief Student Officer with high-level administrative duties, briefings, student conduct matters and the oversight of key initiatives across the university.
This role is primarily based at our Footscray Park campus, with occasional travel across other VU locations.
Key responsibilities include:
Coordinate and manage strategic and operational projects within the Student Services & Administration portfolio.
Develop high-quality documentation including reports, briefings, business cases, and presentations for the Chief Student Officer.
Oversee consultation, updates and version control of over 50 policies and procedures owned by the CSO.
Support management and compliance of budgets, including SSAF and HEPPP funding streams.
Liaise with senior leaders and university departments to ensure alignment and smooth implementation of key initiatives.
Contribute to quality assurance, compliance, and process improvement across the department.
About You:
You are a strategic thinker with excellent organisational and communication skills. You enjoy working across diverse projects, managing multiple priorities and collaborating with stakeholders at all levels. You’re comfortable interpreting policy, handling confidential matters and maintaining a strong attention to detail in a fast-paced environment.
To be successful, you will have:
A degree with at least 4 years' subsequent relevant experience, or an equivalent combination of education and experience.
Proven project coordination and administration experience, with the ability to manage deadlines and competing priorities.
Strong written and verbal communication skills, including report writing and stakeholder engagement.
Experience preparing documentation such as briefings, agendas, policies, and business cases.
A demonstrated understanding of student services and the tertiary education sector.
High-level interpersonal skills, with the ability to build effective relationships and manage sensitive matters discreetly.
Proficiency in relevant digital tools, such as Microsoft Office Suite and project management platforms.
Desirable:
Experience working in a university or dual-sector education setting.
Familiarity with student conduct processes, policy consultation, and managing education-related budgets.
