Administration Coordinator
💧 Full Time | Dubbo Office | $33–$40 per hour (depending on experience)
🕘 Monday–Friday, 8:45 am – 5:00 pm | In-house role
We’re seeking an experienced and motivated Administration Coordinator to join our in-house team at Narellan Pools Western Plains & Northern Tablelands.
This is a full-time, office-based role in Dubbo, responsible for managing council approvals, accounts, and general administrative support, along with basic retail assistance and water testing in our showroom.
About the Role
This varied position combines administration, approvals, and client support. You’ll work closely with our Project Manager, Construction Manager, and Operations team to help deliver an exceptional client experience from approval through to handover.
Your key responsibilities will include:
Managing council development applications and approvals for new pool builds
Preparing and submitting DA/CDC documentation
Liaising with engineers, certifiers, and councils to track progress and ensure compliance
Coordinating scheduling with the factory and installation teams
Overseeing warranty coordination and client updates
Managing fleet maintenance and registrations
Assisting with contract preparation and document control
Managing accounts payable and credit card reconciliations
Providing basic retail support and in-store water testing
General administration support to the Project Manager and Operations team
About You
You’ll be a capable, organised, and detail-focused administrator with a strong sense of initiative and follow-through.
We’re looking for someone who has:
Previous administration experience (required)
Experience in approvals, building, or construction administration (highly regarded)
Previous CRM experience (highly regarded)
Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Excellent communication and coordination skills
Ability to manage multiple priorities and meet deadlines
