Your Opportunity
As the Executive Officer you will be responsible for:
- provide high level, confidential executive, operational, project and administrative support to the General Manager, TAFE Queensland SkillsTech (TQST), members of the Senior Executive Team and the Executive Services Manager to assist in meeting the operational and strategic goals of the Region;
- manage the operations of the Office of the General Manager and/or the relevant Director/s; coordinate executive and secretariat services across the organisation including quality and timely preparation of TAFE Queensland, departmental and parliamentary briefs, correspondence, reports, submissions, presentations and speeches; and
- provide an efficient and effective interface between the Office of the General Manager and other key internal and external stakeholders.
This position reports to the Executive Services Manager.
This is a permanent, Full-time opportunity.
The position will be based primarily at Acacia Ridge however you may be required to perform work at other TAFE Queensland campuses.
Key Responsibilities
- Provide quality confidential executive, administrative, human resource, financial and operational support to the General Manager and/or Director/s including leading and/or participating in Region projects as required.
- Investigate and monitor the progress of various projects and action items, particularly those of a sensitive and confidential nature, ensuring the tasks are completed within the allocated timeframe and identifying the appropriate escalation point, if required.
- Undertake research, prepare presentations, speeches and coordinate correspondence, responses, reports and briefing papers on behalf of TQST in response to TAFE Queensland, Ministerial, Departmental, Parliamentary, Cabinet, and industry requests in a timely and accurate manner.
- Provide executive support and secretariat services to the Senior Executive Team, and other Committees and working groups including the preparation of agendas, meeting papers, taking and preparation of meeting minutes, and the follow up of outcomes and actions as required.
- Provide an effective interface between the Office of the General Manager, TQST Director/s, and a range of internal and external stakeholders, including but not limited to TQST business units, TQ Corporate, Departmental Divisions, Offices of the Minister and Director-General, Cabinet Liaison and Legislation Office, Deputy-Director-General, Assistant Director-General, TAFE Regions, and community and industry stakeholders.
- Support the Region’s strategic and operational planning and reporting processes, including quarterly review process, TQ monthly reporting, and the coordination of Estimates and correspondence across the region, ensuring adherence to relevant delegations and timeframes.
- Establish and manage effective working relationships and networks, both within the organisation and the public and private sector, and represent the General Manager, Director/s or the interests of TAFE Queensland SkillsTech in various forums, working parties and meetings as required.
- Actively contribute to the achievement of the Region’s quality policies by encouraging an environment where high quality output is achieved and is supported by the development of, adherence to, quality system documentation and risk management principles.
- Proactively participate in local Performance Planning and Development (PPD) processes, seeking opportunities for self development and contributing to the development of the Executive Services team through knowledge sharing and the provision of support, guidance and collaboration.
- Contribute to the success of cultural change within the organisation through promoting and modelling SkillsTech’s core values and Agreed Behaviours and the established TAFE Queensland values of Working Together, Focussing on our Customer, Taking Responsibility, Showing Initiative, and Safety First.
How you will be assessed
Within the context of the role description above, the ideal applicant will be someone who has the following key capabilities:
- Demonstrated ability to provide a range of high level executive coordination and secretariat support services in a dynamic senior management environment, including the ability to undertake project work and manage multiple tasks with conflicting priorities and timeframes.
- Demonstrated knowledge of procedures relating to Cabinet and Parliamentary functions and processes and knowledge of, or the ability to rapidly acquire knowledge of, TAFE Queensland, Departmental, and Queensland’s vocational education and training sectors.
- Highly developed interpersonal, written and oral communication skills as evidenced by the ability to liaise, consult and negotiate with internal and external stakeholders and prepare accurate and meaningful reports, briefing papers, correspondence and presentations.
- Proven ability to exercise sound judgment with minimal supervision including integrity and discretion in handling matters of a sensitive and confidential nature.
- Proven ability to work effectively contribute to a high performing team, identifying opportunities for business improvement and proactively seeking and facilitating opportunities for self development.
Highly Desirable Requirements
• Previous work experience in a similar role would be advantageous.
