What you'll do
- accurate, up to date diary management ensuring forward planning of regular meetings, accuracy of agendas and provision of supporting documents for meetings;
- establishment and maintenance of office processes to best support the day to day functioning of the executive, as well as maintaining contact lists and bring up systems;
- Manage multiple competing priorities on behalf of the executive, including but not limited to diary and calendar clashes.
- Provide comprehensive executive, administrative, and clerical support to the branch executive including extensive diary and calendar management as well as inbox management, triage and delegation as required.
- Proactively organise all aspects of the Executive office including, but not limited to:
- Work collaboratively with the Executive and branch office team to develop, maintain, and implement improvements to internal processes, and ensure conformance with business planning, records, and financial management policies as required.
- Maintain effective working relationships by communicating, consulting and negotiating with stakeholders across all levels.
- Coordinate staff responses to briefs, analysis, advice, submissions, presentations, reports and information papers by providing essential executive support as required.
- Deal professionally with sensitive and confidential issues that arise, and form close working peer networks with personnel in similar roles across the Department, Hospital and Health Services, and other agencies.
- Work under limited supervision, using a high level of initiative to resolve.
About you
We are searching for someone who has:
- Demonstrated ability to support the administrative functioning of the office of a senior executive or senior executive group.
- Demonstrated skills in calendar and diary management and management of an executive's inbox.
- Advanced skills in a range of systems, including office packages (e.g. Word/Excel) and email systems.
- High level written communication and interpersonal skills including the ability to liaise with a wide variety of clientele, such as senior executives, managers and members of the public on a range of sensitive issues.
- Knowledge of, or ability to acquire, knowledge and commitment to Queensland Health's core values of caring for people, leadership, respect and integrity.
- Ability to work under minimal direction and to manage competing priorities in order to meet.
