About the Role
We are seeking a highly skilled and motivated Aboriginal and/or Torres Strait Islander person to join our team as an Executive Services Officer. You will provide high-level executive support to the CEO, assist with the preparation of briefs and communications, and ensure the smooth and efficient operations running of our office. This role requires exceptional organisational skills, attention to detail, discretion and the ability to handle multiple tasks simultaneously.
This is an Identified position. Applicants must be Aboriginal or Torres Strait Islander, as per Section 25 of the Anti-Discrimination Act 1991.
Key Responsibilities
- Provide high-level executive assistance to the CEO, including diary management, travel coordination, and meeting preparation.
- Draft, edit, and coordinate briefs, reports, and internal/external communications.
- Support governance functions including Board and committee meetings (agendas, minutes, and follow-ups).
- Liaise with internal and external stakeholders, including government agencies, community organisations, and Aboriginal and Torres Strait Islander leaders.
- Maintain filing systems and manage incoming and outgoing correspondence.
- Greet and assist visitors in a professional and culturally appropriate manner.
- Support HR, finance, and compliance functions by undertaking routine and complex administrative tasks, or as required.
- Assist with general administrative functions and set up for onsite events and meetings.
- Maintain reception, staff areas, and meeting rooms to a professional standard at all times.
Qualifications and Experience
- Bachelor’s degree in Business Administration or a related field, or
- At least 5 years’ relevant experience in a senior administrative or executive support role, including experience drafting briefs and communications.
Mandatory Requirements
- Current valid Queensland Working with Children’s Card (Blue Card) or eligibility to apply.
- Current Queensland Driver’s Licence.
- Ability and willingness to travel across Queensland and other states as required.
Skills and Attributes
- Advanced written and verbal communication skills, including experience preparing briefs and formal correspondence.
- Strong organisational and time management skills, with the ability to manage competing priorities.
- Proficiency in Microsoft Office 365 (Word, Excel, Outlook, Teams, SharePoint).
- Commitment to cultural safety and respect for Aboriginal and Torres Strait Islander communities.
- Excellent attention to detail, initiative, and teamwork.
