Key Responsibilities:
A. Operational
1. Oversee and coordinate all day-to-day clinic operations to ensure smooth service delivery
2. Manage clinician room schedules and billing utilisation
3. Oversee new patient/client onboarding, intake and documentation process
4. Ensure accurate patient data entry, file management and billing in Halaxy
5. Address and resolve patient/client queries, complaints and feedback professionally and promptly
6. Maintain a safe clean and professional clinic environment
7. Ensure company policies and procedures are aligned with NDIS Practice Standards, privacy legislation and Medicare compliance
8. Manage allied health compliance documentation such as service agreements, consent forms and risk assessments
9. Identify risk and manage risk management tools to assist Operations Manager.
B. Financial
1. Ensure billing and invoicing is accurate and compliant including Medicare claims & NDIS submissions through PRODA.
2. Maximise clinician utilisation & ensure all available appointment slots are filled
3. Review and ensure all billable work has been invoiced
4. Monitor and reduce outstanding invoices to manage low debtor rate.
C. Staff Management
1. Supervise and manage the administrative team daily
2. Assist with staff training and onboarding with the Operations Manager
3. Manage staff coverage, availability, leave requests and feedback with the Operations Manager
4. Assist in the facilitation of team meetings and actively contributing and taking meeting minutes
5. Assist in the facilitation of team events and a positive company culture.
Work Eligibility:
Australian citizenship, permanent residency, or valid work visa required. Successful applicant must undergo a National Police Check and Working with Children Check.
