About the Role:
We are seeking an enthusiastic and organised Administration Officer to join our main office team. This role provides key support across accounts receivable, events, school communications, and general office duties under the direction of the Business Manager.
You will work closely with staff, students, and the wider school community to ensure the smooth operation of school activities. You will be part of a supportive main office team of three full-time administration staff. Prior school experience is desirable but not essential; full training on school systems and processes will be provided.
Key Responsibilities:
Accounts Receivable
Manage all aspects of CASES21 accounts receivable, including invoicing families for school fees, events, excursions, and camps.
Process CompassPay receipts daily and ensure all cash and EFTPOS transactions are accurately receipted and balanced.
Produce, interpret, and analyse financial reports, including family transaction histories, matching reports, and statements.
Process CSEF applications and monitor student funding balances.
Prepare financial summaries, including profit and loss for camps, excursions, and fundraising activities.
Respond to staff and parent enquiries regarding accounts receivable matters.
Events
Support staff in planning and managing school events via Compass and SAL, ensuring compliance with departmental policies.
Organise and oversee activities for the Chase Basketball Academy.
Plan and coordinate the End-of-Year staff celebration.
Manage event registrations and reporting through TryBooking.
Communications
Update the school website and reception TV with photos and information.
Draft, edit, and finalise the school newsletter (three times per term).
Assist with preparation of the school yearbook in collaboration with principal class staff.
Maintain and update school policies as required.
General Administration
Provide routine administrative support and reception duties, including screening visitors, answering phones, and liaising with parents.
Attend to student enquiries and provide first aid when required.
Manage Compass functions, including student arrival/departure times and password resets for parents and students.
Undertake additional duties as directed by the Principal or Business Manager.
