The Role

We’re on the lookout for our next admin superstar - someone organised, reliable, and passionate about delivering excellent care alongside our welcoming admin and clinical team. In this important role, the successful applicant will act as an information resource and ambassador to patients, the general public, practitioners and team members.

This is a permanent part-time role with a minimum of 24 hrs per week (Mon 2-8pm, Wed 2-8pm, Thurs 4-8pm, Fri 7.30am-3.30pm or 11-7pm), with the opportunity for additional shifts and leave cover across our opening hours.

You will be dividing your time between front-desk client care and essential administrative support.

Your duties will include but not be limited to:

Client Experience

Answering phones and emails promptly, prioritising client needs.

Managing diaries and scheduling client appointments.

Providing outstanding customer service to ensure every client has a positive and meaningful experience.

Building strong working relationships with clinicians to support coordinated client care.

Supporting the podiatry team through instrument management and sterilisation.

Ensuring the clinic is well-presented, clean, tidy, and safe for our clients.

Administration

Processing payments and invoices accurately.

Managing Work Cover debtor accounts and performing bank account reconciliations.

Supporting the Practice Leadership team with day-to-day operations.

Helping document and improve clinic procedures.

Assisting with special projects such as clinical trial management, marketing initiatives, and social events.

About You

You are a friendly, professional, and team-oriented individual with the ability to mentor and support fellow administrative staff, who brings:

Essential:

Experience as a Allied Health Receptionist/Administrator, ideally in podiatry or physiotherapy, with working knowledge of podiatry workflows and Victorian WorkCover accounts and debtors.

Excellent customer service skills, with empathy and a strong client-support focus.

High accuracy, a mature mindset, and strong problem-solving ability.

Ability to work independently and collaboratively in a team environment.

Confidence with systems and a quick learner of new programs.

Initiative, adaptability, openness to feedback, and commitment to continuous improvement and confidentiality.

Desirable:

Interest in a long-term role with opportunities to grow and contribute.

Previous team leadership experience (a bonus, not a must!).
