About the role:
An exciting opportunity exists for a Training Schedule Coordinator to join Victoria Police's People Development Command (PDC), working within the Training Scheduling Unit within Business Services Division. People Development Command (PDC) plays a vital role in building the skills, capabilities, and confidence of Victoria Police employees to lead and positively influence the community. Through the delivery of comprehensive training and ongoing development programs, PDC supports police officers, Protective Services Officers (PSOs), and Police Custody Officers (PCOs) from their initial induction through every stage of their career.
The Training Scheduling Unit plays a critical role in the effective delivery of training programs by managing the coordination and scheduling of all training activities across the Academy. This unit ensures that course timetables, room bookings, and resource requirements are accurately planned and communicated. Working closely with various stakeholders, including instructional staff, student services, and operational teams, the Training Scheduling Unit maintains a dynamic calendar that supports both routine and specialised training needs. Reporting to the Academic Timetabling Manager, you will join a small, collaborative team dedicated to delivering a positive and seamless student experience.

Your duties will include:
- Liaise with instructional staff to proactively identify scheduling conflicts and implement timely solutions.
- Maintain and update digital scheduling systems to reflect changes in course delivery, staffing, or venue availability.
- Assist in the development of scheduling templates and tools to streamline planning processes across training cohorts.
- Support continuous improvement initiatives by gathering feedback from stakeholders and contributing to process enhancements.
- Prepare and distribute training schedules to relevant departments.
- Coordinate logistics for guest presenters, external facilitators, or specialised training sessions.
- Contribute to internal audits and reviews of scheduling practices to ensure compliance and efficiency.
- Undertake other tasks as required.
About You:
The successful candidate will ideally have the following skills and experience:
- Demonstrated ability to coordinate and manage complex training schedules across multiple teams and programs.
- Strong organisational and time management skills, with the ability to prioritise tasks and meet tight deadlines.
- Excellent interpersonal skills, including the ability to communicate effectively with senior police members, external agencies, and other personnel.
- High-level administrative skills, including file management, data entry, and document preparation.
- Experience in coordinating practical training exercises or events, including logistics and stakeholder engagement.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling or database systems.
- Well-developed analytical and research skills to support evidence-based decision-making.
- Strong customer service orientation with a commitment to supporting student and staff needs.
- Experience working in scheduling a large, complex organisation, preferably within government or education.
- Capacity to work both independently and collaboratively within a small team environment.
- Flexibility and adaptability to respond to changing priorities and operational requirements.
Further Information:
- One (1) x full-time, fixed term until 17 September 2027 position available..
- This position is located at Victoria Police Academy, 1 View Mount Road, Glen Waverley.
- The successful candidate will be required to undergo pre-employment checks which may include fingerprint checks and misconduct screening.
